Project Coordinator

ESSENTIAL JOB FUNCTIONS

• Support the end-to-end coordination of logistics projects from initial planning through to execution and completion
• Assist in defining project scope timelines resource requirements and cost parameters
• Coordinate shipments including standard out-of-gauge (OOG) and oversized cargo where required
• Monitor project milestones and ensure adherence to agreed timelines and service levels
• Liaise with internal departments (operations customs finance) and external stakeholders (clients carriers vendors)
• Ensure accurate and timely documentation in line with customs regulatory and company requirements
• Track and report on project performance highlighting risks delays or deviations
• Support cost control by monitoring budgets and identifying efficiencies where possible
• Escalate issues or deviations to management in a timely and structured manner
• Contribute to continuous improvement initiatives and the sharing of best practices across the organization
• Maintain high levels of customer service through proactive communication and responsiveness
• Support compliance with company policies ISO standards and local regulatory requirements
• Perform additional duties as required

OTHER SKILLS AND ABILITIES

• Strong organisational and coordination skills with attention to detail
• Effective communication skills (written and verbal) with the ability to engage stakeholders at all levels
• Good problem-solving ability and a proactive solution-oriented mindset
• Ability to manage multiple priorities in a fast-paced environment
• Solid understanding of logistics operations including transport modes (air ocean road)
• Knowledge of project cargo (e.g. heavy lift OOG) is advantageous
• Commercial awareness including basic cost and pricing understanding

EDUCATION AND EXPERIENCE

• Bachelors degree in Logistics Supply Chain Business or a related field (preferred) or equivalent professional experience
• Minimum 25 years experience in logistics freight forwarding or project coordination
• Experience in project cargo or complex transport solutions is an advantage
• Familiarity with EU transport regulations and customs processes preferred
• Proficient in Microsoft Office (especially Excel)
• Experience with Transport Management Systems (TMS) preferred
• Fluent in German and English (both written and spoken)

CERTIFICATES AND LICENCES

Professional certification may be required in some areas.
