Job Summary

Job Title:Family Assistant / House Manager

Location: Split between Delray Beach FL and Sag Harbor NY (with travel between residences as needed)

Schedule: Monday -Friday...35-45 hours a week

Compensation: $35 - $38/hour


Overview

We are seeking a highly organized proactive and resourceful individual to assist in the operation of two private residences while supporting a busy CEO-led household. The position is based in Delray Beach Florida and will require minimal travel to Sag Harbor NY. This position requires a hands-on professional who thrives in a fast-paced environment anticipates needs before they arise and takes full ownership of execution.

The ideal candidate is detail-oriented calm under pressure and capable of managing multiple priorities seamlessly with minimal direction. This is a key role responsible for ensuring the household runs efficiently behind the scenes.


Key Responsibilities

Household Operations (Both Residences)

  • Oversee the day-to-day operations of two private homes located in Delray Beach FL and Sag Harbor NY
  • Manage all household vendors including cleaning services landscapers maintenance providers and repair professionals
  • Schedule coordinate and supervise repairs maintenance and ongoing home projects
  • Ensure both residences are consistently stocked organized and maintained to a high standard
  • Prepare homes in advance of arrivals and manage property close-down procedures after departures

Family & Child Logistics

  • Manage and maintain the childs comprehensive schedule including school occupational therapy tutoring extracurricular activities and camps
  • Coordinate with service providers instructors and caregivers
  • Handle all scheduling adjustments and logistics to ensure smooth daily operations
  • Research and present options for camps educational programs and activities
  • Ensure seamless coordination across all aspects of the childs routine

Travel & Lifestyle Management

  • Coordinate all travel logistics including flights ground transportation and home readiness
  • Prepare and maintain detailed packing lists and travel systems
  • Ensure smooth transitions between residences for the family

Calendar & Scheduling

  • Maintain and manage the familys master calendar
  • Coordinate schedules across household staff vendors and external commitments
  • Anticipate and prevent scheduling conflicts while proactively managing time

Staff & Vendor Management

  • Oversee household staff including nannies and cleaning personnel
  • Coordinate staff schedules and ensure accountability and performance standards are met
  • Serve as the primary point of contact for all vendors and service providers

Expectations

  • Take full ownership of tasks execution and follow-through
  • Anticipate needs and proactively solve problems
  • Present solutions and recommendations rather than just identifying issues
  • Maintain a high level of discretion confidentiality and professionalism
  • Operate independently with minimal oversight

Reporting

Provide a concise weekly report that includes:

  • Completed tasks
  • Upcoming priorities
  • Items requiring decisions
  • Any issues challenges or recommendations

Qualifications

  • Prior experience as a House Manager Estate Manager or Executive Assistant within a private household
  • Exceptional organizational and multitasking abilities
  • Strong communication and problem-solving skills
  • Proven ability to manage multiple priorities across different environments
  • High level of discretion and trustworthiness
  • Comfortable using technology including calendar systems and task management tools
