Job Summary

Bring your energy to Aggreko as Pre-Contracts Coordinator. The IPP Solutions Coordinator provides essential coordination administrative and documentation support for the APAC bid and opportunity pipeline. This role supports the Bid Manager and Commercial team by organizing bid activities coordinating inputs maintaining accurate documentation and ensuring stakeholder alignment throughout the opportunity lifecycle.

What youll do:

  • Bid Workflow Coordination:Coordinate and track the end-to-end bid process including monitoring schedules managing internal contributor inputs and supporting internal reviews.

  • Proposal Content & Formatting:Assist in the compilation and formatting of draft proposal documents maintaining standard templates content libraries and ensuring document consistency.

  • Documentation & Version Control:Ensure all bid folders are structured organized and version-controlled tracking various bid inputs like clarifications technical inputs and approvals.

  • Pipeline & Record Management:Maintain and update pipeline registers and opportunity trackers (CRM) ensuring bid documentation is stored correctly and accessible.

  • Administrative & Procurement Support:Handle financial administrative tasks including raising purchase requisitions tracking approvals processing invoices and assisting with supplier onboarding.

  • Team & Operational Logistics:Provide comprehensive team support by coordinating travel managing calendars planning meetings and events and assisting with new team member onboarding.

You are:

  • Technical Proficiency:Demonstrated proficiency with Microsoft Office Suite (Word Excel PowerPoint) and experience with collaboration tools like Teams or SharePoint as well as document management systems.

  • Organizational & Time Management:Strong organizational coordination and time management skills to handle multiple priorities and meet deadlines effectively.

  • Attention to Detail:Excellent attention to detail and a commitment to ensuring the accuracy and quality of documentation and processes.

  • Communication Skills:Sound written and oral communication skills with confidence in engaging and following up with stakeholders.

  • Bid Process Acumen:Experience or exposure to bid tender processes and proposal support ideally within project coordination or technical administration.

  • Documentation Management:Familiarity with structured document management workflows and experience using document control platforms.
