PRIMARY FUNCTION:

The Divisional Operations Coordinator provides direct oversightsupportandassistanceforall oftheCentralDivisions administrative and operational needs. The Divisional Operations Coordinator drives the process for all budget expense contract and administration for the Division. The role takes on strategic projects as assigned scheduling all Division meetings and tracking initiatives and addition the Divisional Operations Coordinator steps in to support assigned regional offices with general administrative needs as requested.

Responsibilities

Primary:

  • Serve as the primary support professional for the Division Vice Presidentincluding calendaring travel coordination and expense management.
  • Coordinatelogisticsfor meetings/events.
  • Oversees all divisional finance and budget management processes including allocation tracking contracting and vendor payments while serving as the primary liaison between regional offices the Division and the national support functions.
  • Provide direct project management support to the Divisional Vice PresidentSenior Director ProgramsPolicy Director Communications Directorand Regional Directors including scheduling Divisional meetings coordinating all tech and material needs and tracking assigned deliverables.
  • Oversee the maintenanceand coordinationof division filesand data. Support the Division and Regions tomaintainaccuratestaffing partner educatoretc.lists.
  • Design presentation decks.
  • Coordinate onboardinglogisticsfor new employees.
  • Assistwith marketing social media newsletters websites for regional offices and the Division.
  • Undertake other administrative projects and/or assignments as needed.

Secondary:

  • Collaborate with other departments and regions to support Division initiatives.
  • Coordinate production and distribution and manage the inventory of divisional materials.
  • Assistin training new employees on administrative tasks.
  • Handle administrative functions for other regions as necessary during colleagues time off.

Qualifications

Skills:

  • Strong level of initiative and ownership of work.
  • Excellent communication organizational and interpersonal skills needed.
  • Demonstrated skills in clear writing and responsive correspondence essential.
  • Combines active listening and resourcefulness to make informed decisionsdemonstratinga strong awareness of when to bring inadditionalperspectives to achieve the best outcomes
  • Ability todemonstrateattention to detail throughaccuratework product.
  • Comfortable prioritizingandable tomanage multiple projects simultaneouslyondeadline.
  • Comfort working with colleagues remotelyandacrosstime zones.
  • Familiaritywithusing Slack and administering Zoom meetings and webinars strongly preferred.
  • Technical competence. Working familiaritywithdatabase systems essential.
  • High levelof experience andproficiencyusing Microsoft Office software including Word Excel and PowerPoint andenthusiastic aboutlearningnew technology.

Work Experience:

  • The ideal candidate hasseveral yearsadministrative experiencesupporting multiple locations and stakeholdersincluding office management and budget experience.
  • Experience providing direct administrative support to senior level managementis highlypreferred.

Education:

  • Associate degree or equivalent work experience.

Work Environment:

  • ADL is a hybrid environment; this rolewillrequire 3 days in the office.
