Business Need / Purpose of Role:


TheROC Operatorreporting to theROC Manageris for coordinating and assisting vessels with inward/outward clearance providing all necessary husbandry assistance to the Master and Principal ensuring fast efficient and smooth turnaround in port.


Objectives & Measurement Key Responsibilities:


Service Delivery

  • Deliver a positive customer experience at all opportunities to both internal and external stakeholders whilst ensuring compliance with regulatory and principal requirements. Working proactively to maximize customer experience.
  • Establish and maintain formal relationship with principals relevant government departments and agencies local authorities and service providers to exchange information and views to ensure that the company is providing the appropriate range and quality of services.
  • Prepare a daily prospects/operational report for each vessel assigned to you and submit the report to all stakeholders including but not limited to the ships master the principals operational staff and all other interested and affected parties associated with the port call.
  • Providing the port and head office management with updated information on local rules and regulations changes in port charges as and when notifications are received to enable the company to update operational and documentation procedures and inform the principals so that full transparency of port operational requirements and costs are communicated.

Operational

  • Perform vessels operations as directed by ROC management and in accordance with Inchcape policies and procedures so that all relevant procedural/legislative requirements are fulfilled in delivery a quality service that fully meets the principals needs.
  • Process inward and outward clearances of all vessels at the ports covered by the port office by ensuring compliance of the required documents with laws and regulations as set down by government authorities such as Immigration Customs and Port Authorities.
  • Performing all the arrangements in close co-ordination with main office for crew changes medical cases and crew shore passes as per vessel/principals requirements to accomplish speedy turnaround of vessels.
  • Ensure strict compliance to all relevant safety quality and environmental procedures in accordance with Inchcape Quality Management System and Inchcape Health and Safety Environment policies and procedures to deliver highest service quality to the customers.

Financial

  • Perform accurate and timely updates of ONEDA/Optic and other systems to meet principals requirements and key performance indicators set by the company and principal.
  • Ensure that where applicable proforma pre-funding requests have been forwarded to the Principal prior to vessels arrival. Ensure that a check is maintained on the funding situation and make the relevant Managers aware when there are insufficient funds to cover a vessel call. To comply with all the financial aspects and requirements of a vessel appointment.


The post holder will carry out any other duties as are within the scope and purpose of the job as requested by the Port Manager and ensure full utilization of all Inchcape systems according to Standard Operating Procedures.


Knowledge Skills and Abilities


  • Attention to details and effective organizational skills
  • Must possess an advanced proficiency with Microsoft Word Excel PowerPoint SharePoint and Outlook.
  • Willingness to work as a team player.
  • Capability to work flexible working hours including overtime and weekends.

Education and Qualifications

Education/Experience:


  • High School Certificate or equivalent
  • 3-5 years of experience of vessel operations
