This entry-level position is part of the Estimating Team & performs administrative duties & the control of documents in support of the Estimating Department.
Essential Duties:
- Set up new and maintain electronic estimating files & maintain data (i.e. Plans Specs Bid Forms Addenda RFIs Bid Date Changes etc.).
- Compile & update pending sold & lost bid lists for sales reports & database entries.
- Correspond with Customers & vendors.
- Maintain the Invitation to Bid (ITB) Log & the Jobs to Bid schedule.
- Provide CES bid intentions to general contractors in a timely fashion.
- Prepare proposals and notify Estimators so they can review/verify counts inclusions and exclusions.
- PDF the proposal/all other documents required and send them out to the prospective GCs.
- Prepare & maintain electronic pre-qualifications for all General Contractors/Clients.
- Maintain Estimating calendar for meetings walkthroughs staff vacations etc.
- Other duties & special projects as assigned.
Education/Experience
- 3-5 years of related experience.
- High School diploma or equivalent.
Qualifications Skills and Abilities:
- Modern office practices procedures & equipment
- Advanced Excel Word Outlook & basic computer operations
- Correct English usage grammar spelling punctuation & vocabulary
- Oral & written communication skills.
- Communicate effectively both orally & in writing
- Meet time schedules and deadlines & plan & organize work
- Work confidently with discretion & independently with little direction
- Maintain a high level of confidentiality
- Have great attention to detail
- Be comfortable working with numbers & technology
- Be well organized & reliable
- Multi-task in a fast-paced environment
- Work approved overtime on occasion for bid deadlines
