Position Description

Were looking for an organized energetic and service-orientedVolunteer Support Assistant to join our team this summer! In this role youll work closely with the Volunteer Engagement Coordinator to support the day-to-day experience of volunteers who contribute to important HIEC initiatives with a strong focus on the continued growth of theOntario Career Lab.


This position combines administration communication coordination and project support. Youll assist with volunteer onboarding scheduling records management screening processes email communications and summer initiatives designed to strengthen how we engage support and recognize volunteers. You may also have the opportunity to attend events career sessions outreach activities and volunteer functions gather feedback assist with surveys and contribute ideas that improve our volunteer systems and processes.


This role is ideal for someone who enjoys helping others staying organized taking initiative and making meaningful community impact in a fast-paced collaborative environment.


This position is funded through the Canada Summer Jobs program. Candidates must:

  • Be between 15 and 30 years of age at the start of the funded position.
  • Be a Canadian Citizen permanent resident or someone to whom Refugee Status has been granted/conferred.
  • Have a valid Social Insurance Number (SIN).
  • Be available to work the required full-time contract hours for the duration of the placement.


Key Responsibilities:

  • Support volunteer onboarding communications scheduling and general coordination
  • Assist with volunteer records spreadsheets databases and internal tracking systems
  • Help process and monitor volunteer screening requirements including Sterling Backcheck requests and follow-up steps
  • Respond to volunteer inquiries in a professional and service-oriented manner
  • Support initiatives connected to Ontario Career Lab including events career sessions webinars and outreach activities
  • Attend select sessions or events to support operations and gather feedback
  • Assist with surveys reporting and summer improvement projects
  • Draft volunteer emails reminders recognition messages and general communications
  • Contribute ideas that improve volunteer engagement service delivery and internal processes
  • Complete other duties as assigned from time to time in support of organizational priorities


Qualifications to succeed:

  • Relevant post-secondary education in business administration communications human resources education community services nonprofit management or a related field is considered an asset
  • Equivalent combinations of education training experience and transferable skills will be considered
  • Previous experience in administration customer service volunteer environments events education or coordination is an asset
  • Strong organizational skills with excellent attention to detail
  • Strong written and verbal communication skills
  • Demonstrated initiative creativity and willingness to contribute ideas
  • Comfortable using Microsoft Office Google Workspace and general workplace technology
  • Experience with CRM systems (such as HubSpot) spreadsheets surveys or digital communication platforms is an asset
  • Passion for volunteerism youth engagement community impact and service excellence
  • Interest in or experience within the not-for-profit sector is considered an asset

Working Conditions:

  • Typical working hours are Monday to Friday with occasional flexibility required based on programming or event needs
  • This position may operate within a hybrid work environment combining onsite work at HIECs Burlington office with event attendance and some remote work subject to operational needs
  • Some travel within Ontario may be required
  • A Vulnerable Sector Check is required
  • Valid drivers licence considered an asset
