Job Summary

Great Prairie Area Education Agency has an opening for a Part Time Medicaid Lead / Receptionist in our Ottumwa AEA office.

235 work days (4-hour days)

Schedule: Monday-Friday 7:30 AM to 12:00 PM or 12:00 PM to 4:30 PM

Classification: Administrative Support

Starting pay: This is an hourly position with a generous paid leave package in addition to a monthly cafeteria plan allotment of $525 (any unused cafeteria amount is paid through payroll after taxes to the employee) IPERs retirement and employer sponsored LTD and life insurance.

Job Summary:

The Office Administrative Assistant provides high-level support in the agency performing a variety of administrative support functions. The Office Administrative Assistant supports Administration designated staff agency programs projects services and works cooperatively with school administrators teachers and external and internal partners creating a positive and professional first and lasting impression.

Qualifications:

  • High school diploma / GED required.
  • Coursework in business administration or a related field is preferred.
  • Three to five years of administrative support experience.

Essential Functions:

  • Models a positive image of the GPAEA demonstrating a high degree of customer service to visitors customers and co-workers.
  • Provides timely support to customers/staff for functions including but not limited to: coordination of schedules/calendars; coordination of meetings and meeting space; resource assembly; development and/or photocopying of documents; preparation of presentations; correspondence; updating agency documents and technical support for agency systems.
  • Demonstrates excellent communication personal presentation and problem-solving skills.
  • Manages and maintains confidentiality of information.
  • Demonstrates ability to organize and manage multiple projects and activities.
  • Recommends policy and procedure revisions as they relate to central support clerical activities.
  • Participates in meetings workshops committees and professional development opportunities.
  • Provides system & process support to administrators.
  • Supports and prepares necessary documents to order equipment supplies and online print orders.
  • Regular predictable consistent attendance is essential.
  • Demonstrates cultural competence and behaviors consistent with the core values vision and mission of GPAEA.
  • Other duties as assigned.

Additional Responsibilities

  • Knowledge of standard administrative assistant procedures and office management techniques including record management word processing filing telephones video and phone conferencing note taking gathering/organizing data and calendar/schedule maintenance for the office and/or assigned personnel.
  • Ability to maintain confidentiality.
  • Strong oral and written communication skills correct English grammar punctuation spelling and proofreading.
  • Strong interpersonal and customer service skills; in person in writing and on the telephone.
  • Ability to communicate and work well with others.
  • Ability to anticipate organize and prioritize the needs of many individuals within the office and complete work for meeting multiple timelines.
  • Evidence of accuracy and thoroughness of work products.
  • Computer experience using both Mac and PC including Google apps and Microsoft products and web based tools as well as the ability to learn new applications and resources.
  • Ability to work as a team and independently.
  • Knowledge and demonstration of cultural competence.

Working Conditions:

  • Ability to travel to training or meetings outside of the area.
  • Normal routine levels of activity related to bending carrying climbing hearing lifting reaching sitting standing vision and walking and may also involve above-average levels of activity at times that cant always be anticipated.

Terms of Employment

The work schedule and compensation will be determined in alignment with Great Prairie AEA policies and subject to board approval.

Evaluation

Annual evaluations the first two years and every three years thereafter.
