Job Summary

We are seeking a highly motivated specialist to join our team at NISRF (Sigonella Italy) as Staff Assistant (Central Processing).

ABOUT YOU

You will bring substantial professional experience in personnel services and administration. You will actively support the overall management planning coordination and supervision of Community & Welfare Support services and activities for NISRF personnel and their dependents. Your primary responsibilities will focus on in- and out-processing procedures and related administrative functions including support for the effective management of security clearances motor vehicle registration and MWA items.

In particular:

  • Providing all aspects and services related to in-/out-processing;
  • Printing out NATO ID cards;
  • Managing privileges and ration cards databases and ensuring periodic communication;
  • Assisting NISRF personnel with vehicle registration in the Allied Forces in Italy (AFI) System;
  • Setting up appointments for NATO members with the Motor Vehicle Registration Office (MVRO);
  • Maintaining an accurate database of primary and secondary vehicles documents;
  • Managing sale and supply of MWA items;
  • Assisting in preparing reports by collecting analyzing and summarizing data and trends in regards of in-/out processing;
  • Assisting in the proper management and administration of all matters related to NATO Security Clearances to Certificates of Conducts for new and serving civilian staff;
  • Interacting with and influencing colleagues and holding working level contact with customers suppliers and partners;
  • Performs a range of work sometimes complex and non-routine in a variety of environments;
  • May be required to perform a similar range of duties elsewhere within the organization at the same grade without there being any change to the contract.

YOUR QUALIFICATIONS AND EXPERIENCE

Essential

  • Higher Secondary education and intermediate vocational training in human resources management business administration law social sciences or related field public administration or related discipline which might lead to a formal qualification with 2 years experience or Secondary education and completed advanced vocational training in that discipline leading to a professional qualification or professional accreditation with 4 years post related experience;
  • Experience in personnel administration and personnel management;
  • Professional experience in office/general administration practices;
  • Experience in application of Personnel Regulations;
  • Working knowledge of Automatic Data Processing (ADP) systems;
  • A good command of English both written and spoken;
  • Knowledge of the Host Nation language (Italian).

Desirable:

  • Previous assignment to a military/international organization or NATO;
  • Italian proficiency 2.2.2.2.

YOUR TEAM

NATO nations have chosen to acquire a wide area ground surveillance asset based on a High Altitude Long Endurance (HALE) Remotely Piloted Vehicle (RPV). The system chosen is based on a uniquely designed RQ4-4D (Global Hawk) with the Multi-Platform Radar Technology Insertion Programme (MP-RTIP) as the primary sensor a ground segment including deployable assets and a supporting communications architecture dedicated to filling some of NATOS Joint Intelligence Surveillance and Reconnaissance (JISR) needs.

The Management Division encompasses Protocol Staff Workflow Management Office Registry and Knowledge Management and the Base Support Group (BSG). The BSG ensures the operational environment is secure well-maintained and supportive of personnel and their families. The group is comprised of the Security Forces Squadron Infrastructure Management Branch Health Safety Environmental Protection and Energy Efficiency Branch and the Family Support Morale and Welfare Branch (FSMW). The FSMW Branch provides support services that enhance the quality of life for the Force and their families. This branch offers a range of services including counselling recreational activities and family support programs. It helps maintain morale and supports overall mental and physical well-being of the workforce.

CONTRACT

Serving civilian members of NATO will be offered a contract in accordance with the NATO Civilian Personnel Regulations. Newly recruited staff will be initially offered a definite duration contract of three years. Thereafter an indefinite duration contract might be offered.

  • Salary values indicated in this vacancy notice are based on NATOS Single Salary Spine scale;
