Project Planning & Coordination

Manage the full lifecycle of event logistics projects from enquiry to final reporting

Interpret client requirements and translate them into quotations and operational plans

Develop timelines shipment plans and resource allocation strategies

Coordinate air ocean and road freight movements for event cargo

Client & Stakeholder Management

Act as the primary point of contact for clients organisers venues and overseas partners

Provide regular status updates milestone tracking and proactive issue resolution

Attend client briefings site visits and project management and operational meetings

Operational Execution

Ensure timely booking of transport customs clearance and delivery to site

Monitor shipment progress and manage deviations in real time

Coordinate onsite logistics with the operational onsite team including move-in marshalling and move-out

Vendor & Partner Management

Liaise with global agents carriers transporters and service providers

Negotiate competitive rates in line with project budgets

Ensure compliance with service level agreements (SLAs)

Documentation & Compliance

Oversee accurate preparation of shipping documents permits and customs requirements

Ensure compliance with international trade regulations and event-specific procedures

Manage carnet temporary imports and re-export processes

Financial & Commercial Control

Prepare job costing quotations and budget tracking *Note: F&E target GP will be 30% and target EBIT will be 9%

Monitor project profitability and control operational costs

Ensure timely billing and cost recovery

Risk & Contingency Management

Identify operational risks and implement mitigation plans

Execute contingency solutions for time-critical cargo

Maintain business continuity during live event operation

Reporting & Continuous Improvement

Deliver post-event reports and performance analysis

Capture lessons learned and implemented process improvements
