About the Role:
The Front Desk & Administrative Support position plays a key role in maintaining a professional organized and welcoming environment for all staff visitors and external partners. This role manages highvolume phone communication greets and directs visitors and ensures the reception area reflects the organizations standards. The position also supports daily operations by scheduling conference rooms processing and distributing incoming mail and deliveries and assisting internal departments with documentation coordination and general office tasks. With additional responsibilities assigned as needed this role contributes to the smooth efficient functioning of the workplace and serves as a central point of support across the organization.
Responsibilities:
- Direct all incoming phone calls providing accurate general information and routing inquiries to the appropriate staff.
- Greet visitors and employees in a friendly professional manner and promptly notify relevant staff of arrivals.
- Maintain a clean organized and welcoming reception area to support a positive first impression.
- Schedule and manage conference room reservations to ensure efficient use of shared spaces.
- Receive datestamp sort and distribute incoming mail and deliveries to designated recipients.
- Offer assistance to internal departments supporting documentation coordination and general office needs.
- Perform additional duties as assigned to support overall business operations and ensure a smooth efficient workplace.
Position Requirements:
- Education: High school diploma/GED
- License/Certification: N/A
- Relevant Work Experience: No experience in a corporate reception environment required but a minimum of 1 year of work experience preferred
Skills:
- The required skills such as multi-line phone management and phone etiquette are essential for handling high volumes of incoming calls professionally and efficiently ensuring callers receive timely and accurate assistance. Receptionist duties and general administrative skills are applied daily to maintain smooth office operations including greeting clients warmly and managing correspondence. Proficiency with copy machines and other office equipment supports document handling and distribution tasks. Managing multiple phone lines and multi-phone systems requires strong organizational abilities and attention to detail to avoid missed communications.
