Job Summary
JOB SUMMARY:
The Project Coordinator provides comprehensive administrative logistical and technical support to the Project Management team in the planning and execution of construction projects across Alaska. This position plays a key role in maintaining project documentation coordinating schedules supporting cost tracking preparing bid and permit documents ensuring subcontractor pre-work compliance organizing travel and housing logistics and facilitating communication between office and field teams. The role requires strong attention to detail excellent communication skills and the ability to manage multiple priorities while working in a fast-paced project environment. The Coordinator helps ensure project activities remain organized documented and on schedule from project initiation through close-out.
ESSENTIAL FUNCTIONS:
- Assist Project Managers with planning scheduling and coordinating project activities to maintain timelines and deliverables.
- Obtain pricing and gather information to support cost estimate development
- Participate in bidding activities including collecting subcontractor information and preparing documents.
- Assist in preparing and tracking licenses permits and other regulatory submissions.
- Maintain organized electronic and paper project files including RFIs design clarification requests submittals change orders proposals drawings specifications cost reports O&M manuals close-out packages and other project deliverables.
- Track and file incoming daily reports photos safety documentation and field correspondence.
- Draft professional correspondence prepare documents for signature and distribute per Project Manager direction.
- Support the development of project plans phases and timelines using Critical Path Management (CPM) or designated scheduling software.
- Coordinate complex travel arrangements including air and hotel reservations for project personnel.
- Secure temporary housing for project sites and coordinate with Accounting for utility setup and lease payments.
- Assist Project Managers with client communication and represent the company professionally.
- Coordinate and attend project meetings; record action items and follow through on assigned tasks.
- Work with Human Resources to support compliance with local hire requirements at rural job locations.
- Code invoices to appropriate project accounts for accurate cost tracking.
- Assist with preparing reports presentations and documentation for internal and external stakeholders.
- Maintain the project management office in an organized and professional manner.
- Provide administrative and task support to all Project Management team members as needed.
- Participate in training and development opportunities to maintain project coordination skills.
- Maintain professionalism confidentiality and ethical conduct in all business activities.
- Report unsafe or unethical activity immediately to leadership.
- Work safely maintain awareness and follow all company policies and procedures.
- Perform other duties as assigned
SUPERVISORY FUNCTIONS:
This position does not have supervisory responsibilities.
KNOWLEDGE SKILLS & ABILITIES:
- Understanding of construction concepts terminology and project sequencing.
- Proficiency in Microsoft Project Excel Word PowerPoint Outlook and project scheduling or document control software.
- Strong technical and professional writing ability; capable of producing accurate clear and well-organized documentation.
- Ability to gather information analyze data identify issues and support problem-solving.
- Skilled in internal/external communication presentations and professional client interaction.
- High accuracy in editing document control file management and numerical work.
- Ability to prioritize tasks manage competing deadlines and maintain thorough documentation.
- Works effectively with Project Managers estimators field personnel and other departments.
- Advanced ability to use business software including spreadsheets scheduling systems and shared drives.
- Ability to learn new software tools and construction processes quickly.
- Adjusts to sudden schedule changes shifting project needs and fast-paced environments.
- Uses sound rational judgment to support project decisions and escalate concerns when necessary.
- Maintains constant situational awareness and follows all safety protocols.
- Able to operate a motor vehicle safely and efficiently.
- Able to travel to project sites up to 20% of the time.
MIMIMUM QUALIFICATIONS:
- High School Diploma or equivalent required.
- Bachelors degree in Construction Management Engineering or a related field (or active enrollment with related experience) preferred.
- One-year minimum of Construction related work experience required.
- Proficiency with Microsoft Outlook Excel Word and basic scheduling/document control tools required.
- Strong written communication and document management skills required.
- Ability to travel up to 20% of the time.
- Experience using project management software (e.g. MS Project P6 Procore Smartsheet) preferred.
- Prior experience in Alaskas rural construction industry preferred.
- Knowledge of remote Alaska logistics and construction practices preferred.
- Ability to read construction plans and specifications preferred.
- Valid state drivers license and must be qualified to operate a vehicle under the conditions of Companys Driving Policy.
- Ability to pass a drug driving and background screenings.
WORKING ENVIRONMENT:
The work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. STG has a fast-paced multi-tasking office environment requiring a high degree of efficient and effective performance. At times work is performed outside of the office at indoor and outdoor job sites. Adaptability regarding schedule and design changes and occasional overtime for immediate field support or bid processing may be necessary.
