We are seeking a highly organized and proactive Executive Assistant to support the CEO and oversee key operational workflows. This role requires strong communication skills sound judgment and the ability to manage sensitive information.
This position offers a high degree of flexibility and autonomy with the opportunity to work closely with leadership and contribute to key business operations. While much of the work can be performed remotely the role includes occasional in-person collaboration and support for meetings and small company events.
This role is ideal for someone who enjoys being a true partner to leadershipsomeone who not only executes tasks but anticipates needs improves processes and helps elevate both internal operations and the companys external presence.
Key Responsibilities
Executive Support
- Manage CEO calendar and scheduling
- Draft and respond to client communications (primarily email)
- Prepare correspondence
- Ensure timely follow-ups
Client & Business Support
- Draft proposals and contracts
- Support new client onboarding processes
- Maintain client communications quality (e.g. drafting and/or responding to emails
Operations Oversight
- Serve as liaison for company vendors including coordinating services as required
- Track company certification renewals and assist with preparation and submission
Systems & Process Management
- Maintain CRM accuracy
- Oversee shared inboxes
- Improve workflows
Communication & Brand Support
- Draft professional communications
- Support LinkedIn and other social media activity
- Prepare month newsletter for distribution
Event & Office Support
- Coordinate small events on occasion
- Provide on-site support when needed for the events
- Attend target networking events periodically
Qualifications
- Must have at least 3 years executive support experience
- Strong verbal and written communication skills
- Must be highly organized
Skills & Competencies
Technical Skills
- Advanced Microsoft Office (Word Excel PowerPoint) SharePoint)
- Familiarity with AI tools (ChatGPT or others)
- CRM systems (HubSpot preferred)

This part-time position is eligible for certain benefits including paid time off paid holidays and the ability to participate in the companys 401(k) retirement plan. JLM will accept applications for this position through May 15 2026. Anticipated start date is June 8 2026.
