Job Type: 7-Month Contract
Job Overview
We are seeking a reliable and professional Receptionist to manage front desk operations and provide administrative support. This role is the first point of contact for visitors and requires strong organizational communication and multitasking skills.
Responsibilities
- Greet visitors and maintain a welcoming front desk environment
- Answer and route incoming calls; provide general information
- Receive sort and distribute mail and packages
- Scan and upload documents into the Captiva system
- Prepare documents reports and spreadsheets using Microsoft Word and Excel
- Maintain and organize filing systems (physical and electronic)
- Retrieve information from databases to respond to inquiries
- Track daily activities and maintain accurate records
- Operate office equipment (scanners fax postage machines etc.)
- Review documents for accuracy and completeness
- Monitor office supplies and assist with ordering
- Coordinate front desk coverage as needed
Qualifications
- 3 years of office or administrative experience (education may substitute)
- Proficiency in Microsoft Word and Excel
- Strong data entry and organizational skills
- Ability to lift up to 35 lbs
- Excellent communication and customer service skills
- Ability to work in a fast-paced environment
- Bilingual (Spanish or Haitian Creole) preferred
- Experience with scanning systems or office equipment is a plus
