Administrative Specialist (Systems & Settlements)
Job Summary
CD PROJEKT RED is looking for an Administrative Specialist (Systems & Settlements) to join our team for a fixed-term contract of 1.5 years. In this role youll support the day-to-day administrative and operational functioning of the office working across finance systems and vendor management.
Youll be responsible for coordinating administrative processes supporting budget oversight and ensuring smooth collaboration with internal teams and external partners. This position combines analytical work with hands-on office operations making it a great fit for someone who enjoys both working with data and taking care of the physical workspace.
Daily Responsibilities
Data and Budget Management & Financial Analytics:
- Manage operational budget processes including collecting data forecasting expenses and monitoring deviations from assumptions.
- Oversee the full circulation of financial documentation including processing purchase invoices managing company card expenses and cooperating with Accounting on tenant rent settlements.
- Maintain fixed asset records in financial systems and coordinate periodic inventory processes in JIRA.
Process Optimization & Systems (System Ownership):
- Support the implementation of new system solutions and tools improving office operations.
- Administer and optimize tools such as JIRA Confluence and Dynamics ensuring efficient processes and up-to-date knowledge base documentation.
- Create and update administrative procedures and documentation in cooperation with Legal Privacy & Compliance teams.
Operations & Vendor Management:
- Manage relationships with external vendors including sourcing suppliers negotiating terms and overseeing administrative contracts.
- Oversee office infrastructure and standards including planning purchases (furniture office and kitchen supplies) and organizing internal and external meetings.
- Support onboarding and offboarding processes including handling settlements for departing employees.
Qualifications :
- Minimum 2 years of experience in an administrative office operations or similar role.
- Knowledge of ERP systems such as Dynamics as well as tools like JIRA and Confluence.
- Very good command of MS Office (especially Excel) including working with large datasets pivot tables and financial functions.
- Strong analytical skills and the ability to interpret budget data.
- Experience with inventory processes and understanding of fixed asset management.
- Strong organizational skills with the ability to multitask and effectively prioritize between analytical and operational work.
- Attention to detail and accuracy especially in documentation and compliance with procedures.
- Good negotiation skills and confidence in working with external vendors.
- Proactive attitude and willingness to improve existing processes and solutions.

Estimated pay range for this position: 7800 - 10 800PLN gross monthly. Final offers are dependent on job-related factors like experience and qualifications.
