The Accounting Assistant provides administrative support to the accounting department by performing a variety of accounting tasks including managing accounts payable credit card reconciliations preparing financial documents and ensuring the accuracy of financial records. This role is crucial for maintaining smooth financial operations and supporting the overall financial health of the organization.
Responsibilities:
Accounts Payable
Process and verify invoices ensuring accuracy and compliance with company policies.
Prepare and post payments including checks and electronic transfers.
Monitor and reconcile accounts payable.
Follow up on overdue invoices and handle customer inquiries regarding billing issues.
Accounts payable records reconciliation.
Credit Card Reconciliation
Review and reconcile credit card statements with company records.
Verify the accuracy of charges and identify discrepancies or unauthorized transactions.
Ensure timely processing of credit card payments and adjustments.
Maintain accurate records of credit card transactions and receipts.
Financial Record Keeping
Maintain accurate and up-to-date financial records and ledgers.
Reconcile bank statements and internal accounts to ensure consistency and accuracy.
Assist with month-end and year-end closing procedures.
Data Entry & Documentation
Enter financial data into accounting software and databases.
Organize and file financial documents and records systematically.
Assist in preparing financial reports and statements.
Support & Communication
Provide support to accountants and other finance staff as needed.
Communicate effectively with vendors clients and other departments regarding financial matters.
Assist with audits by preparing documentation and providing requested information.
Compliance & Accuracy
Ensure all accounting practices comply with company policies and relevant regulations.
Maintain confidentiality of financial information and records.
Associates or Bachelors degree in accounting Finance or related field; or equivalent experience.
Previous experience in accounting or a related role is preferred but not always required.
Proficiency in accounting software Microsoft Office Suite and Excel.
Strong attention to detail and accuracy.
Good organizational and time management skills.
Ability to handle sensitive information with confidentiality.
Strong communication and interpersonal skills.
