TLDR:Kharon is seeking a full-time Payroll Administrator to join the Finance team in our Denver CO headquarters. Onsite attendance is expected at least 3 days per week.
RESPONSIBILITIES- Administer and process semi-monthly payroll cycles for all U.S.-based employees (salaried hourly full-time and part-time) using Rippling.
- Coordinate with international EOR partners to ensure compliant and timely payroll execution validating invoices reports and benefits data for accuracy and consistency with company records.
- Ensure accurate calculation of wages benefits taxes overtime deductions and reimbursements in accordance with Kharon policies and applicable laws.
- Process all new hires terminations pay adjustments bonuses and other payroll-related changes promptly and accurately.
- Maintain accurate and up-to-date employee payroll records ensuring all compensation tax and benefit information is correct across systems and compliant with regulatory and internal data standards.
- Act as the primary point of contact for employee and management payroll inquiries resolving issues quickly and professionally.
- Ensure compliance with federal state and local payroll and tax regulations by monitoring multi-state filings and requirements managed by the TPA verifying accuracy and timeliness of submissions; maintain all applicable payroll tax accounts and ensure accurate registration and ongoing compliance.
- Prepare and submit payroll tax filings and reports including quarterly and annual filings.
- Calculate and submit certified payrolls as required for government or compliance-related reporting.
- Maintain comprehensive payroll documentation and audit trails and provide data and support for internal reviews workers compensation audits ESOP reviews and other compliance-related financial audits.
- Ensure accuracy and completeness of year-end payroll processes including preparation and distribution of W-2s 1099s and other required filings.
- Work closely with Accounting to reconcile payroll-related general ledger accounts and prepare payroll journal entries.
- Coordinate with HR and benefits administrators to ensure accurate processing of 401(k) contributions loan repayments and other benefit deductions and support annual plan audits and reconciliations.
- Partner with HR to ensure proper deductions and reporting of employee benefits time-off balances and other HR-driven changes.
- Prepare and distribute payroll and tax reports to Finance Accounting and senior leadership as needed.
- Identify and suggest improvements to payroll processes systems and internal controls and support the implementation of updates to enhance accuracy efficiency and compliance.
REQUIREMENTS QUALIFICATIONS- 5 years of progressive experience in payroll administration including at least 2years managing multi-state payroll operations and ensuring compliance with federal state and local regulations.
- Proven success administering payroll through Rippling or a comparable full-suite HRIS/payroll system with demonstrated ability to manage integrations and ensure data accuracy across platforms.
- Experience overseeing Employer of Record (EOR) payrolls and vendor relationships ensuring compliance across multiple international jurisdictions.
- Strong understanding of payroll accounting principles including reconciliations general ledger entries and tax reporting requirements.
- Proficiency in payroll data management and reporting including advanced Excel skills for reconciliation analysis and audit support.
- Demonstrated ability to identify and implement process improvements and automation to increase payroll accuracy efficiency and scalability in a growing organization.
- Prior experience serving as the primary point of contact for payroll audits tax inquiries and compliance reviews.
- Exceptional attention to detail accuracy and consistency in handling payroll data and financial reporting.
- High level of integrity discretion and professionalism in managing confidential employee and compensation information.
- CPP or FPC certification a plus.
