Job Summary:
We are seeking a highly organized and client-focused individual to join our team as a Receptionist and Incoming Mail Processor. This role plays a crucial part in creating a positive first impression for visitors and ensuring the efficient handling of incoming mail. The ideal candidate will possess excellent communication skills attention to detail and the ability to multitask in a fast-paced environment.
Front Desk Reception:
Greet and welcome visitors with a warm and professional demeanor.
Manage incoming calls and direct them to the appropriate person or department.
Maintain a tidy and organized reception area.
Incoming Mail Processing:
Receive and sort incoming mail and packages.
Scan mail to the relevant case files or individuals in a timely manner.
Identify and extract relevant information from incoming mail for inclusion in the firms calendar.
Coordinate with relevant departments to ensure timely updates to the calendar.
Maintain accurate records of incoming and outgoing mail.
Visitor Management:
Register and sign in visitors ensuring compliance with security procedures.
Notify employees of visitor arrivals and provide necessary assistance.
Communication:
Relay messages and provide information to employees and visitors as needed.
Respond to inquiries in a professional and courteous manner.
Administrative Support:
Provide general administrative support such as data entry and filing.
Assist with scheduling and coordinating meetings.
Mailroom Equipment Operation:
Operate and maintain mail processing equipment for efficient handling of incoming mail.
Troubleshoot minor equipment issues and coordinate repairs as needed.
Assist in the coordination of outgoing mail occasionally.
Qualifications:
High school diploma or equivalent.
Proven experience in a receptionist or administrative role.
Strong communication and interpersonal skills.
Proficient in Adobe and Microsoft Office Suite (Word Excel Outlook Teams).
Ability to handle multiple tasks simultaneously.
Skills and Abilities:
Exceptional customer service skills.
Strong organizational and time-management abilities.
Attention to detail and accuracy in handling mail and visitor information.
Ability to work independently and collaboratively as part of a team.
Professional appearance and conduct.
Working Conditions:
This position requires standing sitting and walking for extended periods.
Must be able to lift and carry packages of various weights up to 25 pounds.
This position does report to our corporate office in downtown Sacramento.
Work hours are 8am 5pm with some flexibility.
