Position Overview

ISANI Consultants is seeking a Marketing & Proposal Coordinator to play a critical role in driving the firms business development and pursuit strategy. This individual will be responsible for leading and coordinating proposal efforts from pursuit identification through submission ensuring high-quality compliant and compelling deliverables.

This role is ideal for a detail-oriented deadline-driven professional with experience in AEC marketing who thrives in a fast-paced collaborative environment and understands how to position technical teams to win workparticularly in the public sector (TxDOT City of Houston and municipal agencies).

Key Responsibilities

Proposal & Pursuit Management

• Lead and manage the full lifecycle of proposals (RFP/RFQ) from release through submission

• Develop proposal schedules coordinate internal reviews and ensure on-time delivery

• Monitor procurement platforms for opportunities (TxDOT COH and other agencies)

• Ensure all proposals meet compliance requirements and evaluation criteria

• Perform final QA/QC reviews prior to submission

Content Development & Technical Writing

• Write edit and tailor proposal content including:

  • Executive summaries

  • Project descriptions

  • Staff resumes

  • Non-technical narrative sections

• Interview subject matter experts to extract and refine technical content

• Ensure messaging aligns with win themes differentiators and client priorities

Marketing & Business Development Support

• Support strategic positioning and pre-pursuit planning efforts

• Maintain and update marketing collateral resumes and project sheets

• Track proposal metrics pipeline activity and marketing initiatives

• Assist with presentations interviews and shortlist preparation

Team Coordination & Collaboration

• Coordinate with internal leadership engineers and external teaming partners

• Manage data calls and communication with subconsultants

• Direct and integrate input from graphic designers editors and production staff

• Facilitate proposal meetings status updates and stakeholder alignment

Branding Graphics & Document Production

• Ensure adherence to ISANI brand standards across all deliverables

• Utilize Adobe InDesign and Microsoft Office to produce high-quality documents

• Support development of graphics charts and visual storytelling elements

• Maintain document control versioning and file organization

Process Improvement & Strategy

• Recommend and implement improvements to proposal processes and workflows

• Support development of best practices for pursuit strategy and execution

• Contribute to long-term marketing and growth initiatives

Qualifications

Required

• Bachelors degree in Marketing Communications English Business or related field
  (or 5 years of relevant experience in lieu of degree)

• 4 years of proposal coordination experience

• Experience in AEC industry (engineering architecture or construction)

• Strong technical writing editing and proofreading skills

• Experience managing multiple deadlines and concurrent pursuits

• Proficiency in:

  • Microsoft Office (Word Excel PowerPoint)

  • Adobe InDesign

Preferred

• Experience with TxDOT and City of Houston (COH) proposals

• Understanding of public sector procurement processes

• Experience with qualification-based selection (QBS) pursuits

• Knowledge of proposal strategy win themes and evaluation scoring

• Familiarity with CRM systems and proposal tracking tools

• Basic graphic design and layout capabilities (Adobe Creative Suite)
