Job Summary

Accounting/Office Assistant

Monday Friday 7:30 AM 3:30 PM (8-hour days) Part-time in the winter


Position Overview: This role supports the Finance Director in the daily financial and administrative workflow of the office. The Financial/Office Assistant helps maintain accurate records assists with collections and payment processing and contributes to the overall organization and efficiency of office operations.


Education & Software:

  • Required:
    • QuickBooks (We currently use desktop)
    • Microsoft 365 (Excel Word Outlook Teams OneDrive)
  • Additional Systems (Training Provided):
    • SingleOps
    • Weave
    • BambooHR

Requirements:

  • At least 1 year of accounting experience preferred
  • Accounting or business-related degree preferred
  • Organized detail-oriented and proactive
  • Strong communication skills and a positive team-focused attitude
  • Basic knowledge of payroll reconciliations products and services

Key Responsibilities:

    • Monitor and respond to emails regularly
    • Enter payments into SingleOps
    • Data entry (entering receipts and invoices into QuickBooks)
    • Assist with keeping track of and paying bills and monthly statement
    • Create and manage deposits in QuickBooks
    • Perform credit card and bank reconciliations
    • Support collections efforts including weekly follow-up on past due invoices and coordination with collections agencies
    • Assist Finance Director with data entry filing systems and process improvements
    • Help maintain overall office workflow and organization
    • Assist with overflow phone calls (3rd in line)
    • Support sales team with proposal follow-ups as needed
    • Maintain shared office spaces (daily light cleaning stocking coffee area preparing coffee for next day)
