USCs Marshall School of Business is seeking an Associate Director Faculty and Academic Affairs to join the Faculty Affairs Associate Director plays a central role in supporting the full faculty life cycle at the Marshall School of Business. This position reports to the Senior Vice Dean (SVD) and works closely with the Assistant Vice Dean (AVD) Deans Office Provosts Office HR and faculty leadership to manage promotion and tenure processes faculty hiring and retention academic administration compliance and faculty data systems. The role requires deep policy knowledge exceptional organizational skills exemplary customer-service and the ability to manage complex processes with discretion.

Key Responsibilities

Faculty Promotion Tenure and Review Processes

  • Manage end-to-end promotion tenure reappointment and review processes for tenure-track tenured and RTPC faculty (including fourth-year reviews term reappointments and background screenings).

  • Coordinate dossier submissions timelines committee materials and communications for annual P&T cycles.

  • Support planning and execution of future-year P&T cycles in collaboration with the SVD and AVD.

  • Maintain internal tracking systems for promotion tenure misconduct cases and faculty status changes.

Faculty Hiring Retention and Workforce Administration

  • Lead and manage faculty recruitment processes using Workday and Faculty Applicant Management (FAM) systems for full-time faculty; provide oversight for part-time faculty hiring processes.

  • Coordinate advertising strategies for faculty searches including discipline-specific and diversity-focused outlets.

  • Support retention promotion and mid-year performance salary actions in coordination with the Provosts Office.

  • Manage faculty onboarding and offboarding processes including emeritus verification ServiceNow requests and IT coordination.

Faculty Data Systems and Reporting

  • Serve as a primary administrator for faculty data systems including Interfolio Workday Salesforce FACT and Meyestro.

  • Oversee transitions and data integrity across systems

  • Act as Marshalls lead liaison for IMAGINE-HCM and faculty salary data transfers (FSMS to Workday).

  • Troubleshoot system issues from a faculty-user perspective and collaborate with HR Payroll and Provost teams to resolve discrepancies.

Faculty Affairs Operations & Leadership

  • Supervise and lead Faculty Affairs office staff; provide ongoing guidance cross-training and workload coordination.

  • Manage faculty correspondence including appointment letters startup packages housing agreements sabbaticals/leaves course reductions resignations chairs awards and research funding notifications.

  • Coordinate complex meetings and committee operations for vice deans faculty committees and department managers.

  • Serve as a primary point of contact for faculty policy interpretation and issue resolution.

  • Serving on the Operational Cabinet

Events Communication and Community Engagement

  • Lead planning and execution of Faculty Affairs events including New Faculty Orientation faculty awards named chairs events faculty meetings workshops and retirement programming.

  • Partner with HR and Events teams on faculty and staff recognition initiatives.

  • Support commencement operations including faculty marshals regalia distribution and ceremony coordination.

Budget and Administrative Management

  • Manage budget transactions payroll transfers expense reconciliation and fiscal reporting for the Vice Deans office.

  • Develop proposed budgets for future fiscal years.

  • Oversee departmental webpage resources related to syllabi and academic documentation.

Minimum Qualifications

  • Bachelors degree required (Masters degree preferred).

  • Significant experience (5 years) in higher-education administration faculty affairs academic HR or a related field.

  • Demonstrated experience managing promotion tenure hiring or academic personnel processes.

  • Strong knowledge of university policies faculty governance and academic administrative procedures.

  • Experience working with enterprise systems (e.g. Workday Interfolio Salesforce HRIS platforms).

  • Exceptional organizational skills with the ability to manage multiple complex processes simultaneously.

  • Excellent written and verbal communication skills including drafting formal faculty correspondence.

  • Proven ability to handle sensitive and confidential information with discretion.

Preferred Requirements

  • Experience working in a business school or research-intensive university environment.

  • Prior supervisory or team-lead experience.

  • Familiarity with faculty salary systems budget management and contract administration.

  • Experience coordinating large-scale academic events and faculty-facing initiatives.

  • Demonstrated ability to collaborate across multiple administrative units (HR Provost IT Payroll).

Anticipated Hiring Range:

The budgeted salary range for this position is$116288.98 - $ extending an offer of employment the University of Southern California considers factors such as the scope and responsibilities of the position the candidates work experience education/training key skills internal peer alignment federal state and local laws contractual stipulations grant funding as well as external market and organizational considerations.
