Job Summary


Import Coordinator
Location: Wood Dale IL
Schedule: MondayFriday 8:00 AM5:00 PM
The Import Coordinator supports import shipments from arrival through final delivery ensuring accurate documentation timely customs clearance and strong customer service. This role handles shipment coordination data entry billing vendor communication and issue resolution.



Key Responsibilities

  • Coordinate import shipments with customers vendors trucking companies and warehouses

  • Prepare and submit data to U.S. Customs and Border Protection and other agencies (e.g. FDA)

  • Review and process import documentation for accuracy and compliance

  • Track shipments and provide timely updates to customers

  • Arrange trucking drayage and warehouse receiving

  • Approve vendor invoices and submit for payment

  • Generate customer invoices and arrange terminal payments (PierPass CargoSprint PayCargo)

  • Maintain accurate shipment records and files

  • Resolve shipment issues to ensure timely clearance and delivery

  • Ensure all work meets deadlines and compliance requirements


Qualifications

  • 2 years of experience in import logistics and/or customs brokerage preferred

  • Knowledge of U.S. Customs procedures and import documentation

  • Strong organizational data entry and time management skills

  • Excellent communication and customer service skills

  • Ability to manage multiple shipments in a fast-paced environment

  • Proficient in Microsoft Office; Tradepoint experience is a plus




Required Skills:

Minimum 2 years of experience with a freight forwarding company handling air and ocean import operations from start to finish (required). Minimum 2 years of experience handling air and ocean export operations from initiation to completion. Experience with CargoWise operating system. Strong understanding of customs procedures shipping regulations and documentation requirements. Experience working with consolidated cargo and cross-border shipments. Proven ability to negotiate rates with carriers trucking companies and service providers. High level of comfort with transportation and logistics technology systems. Ability to perform effectively in a fast-paced high-pressure environment.
