Personal Assistant to MD
Job Summary
Manage MDs calendar meetings travel and appointments
Handle confidential correspondence and maintain organized records
Monitor and organize incoming communications across LinkedIn WhatsApp Instagram and similar platforms
Categorize contacts by relevance draft acknowledgement responses and schedule introductory calls or meetings
Maintain and update a Network Tracker with names organisations relevance and follow-up timelines
Send reminders to ensure no valuable contact or follow-up is missed
Coordinate speaking invitations industry events panel discussions and association meetings
Assist in posting professional updates and liaise with external PR agencies for basic coordination
Maintain structured databases of industry experts advisors partners and investors
Support MD in nurturing long-term strategic relationships
Ensure timely responses to inbound queries and capture all relevant contacts
Guarantee smooth coordination of professional events and positive engagement with the network
Provide proactive suggestions for improving scheduling communication flow and contact categorization
Identify visibility opportunities and track engagement quality through feedback after meetings or events

Flag potential opportunities for MDs visibility (without defining positioning).
Ensure smooth coordination with PR/communications teams if they expand in future.
Assist in light drafting of event-related updates (subject to MD approval).
Respond to inbound professional queries within 24 hours (same day for priority contacts)
Capture and track at least 95% of relevant contacts in the Network Tracker with complete details
Ensure 100% followup compliance for highvalue connections with no missed reminders
Deliver smooth coordination of all professional events with zero scheduling conflicts
Achieve consistently positive feedback from at least 90% of professional contacts engaged during the year
