Operations & Proposals Manager (AI-Driven Remote Full-Time)

100% Remote Morning Shift 11 AUD/hour

What Youll Own

You will be the backbone of the business operationsdesigning optimizing and running the systems that keep everything moving smoothly.

Operations & Systems

• Own and continuously improve business systems SOPs and workflows
  
• Establish a strong daily/weekly operating rhythm across teams
  
• Drive efficiency across estimating delivery finance and client management
  

Bids & Proposals

• Lead the full proposal lifecyclefrom qualification to submission and review
  
• Prepare capability statements pricing inputs and high-quality proposals
  
• Maintain and build a strong proposal/content library (case studies CVs templates)
  

Marketing Operations

• Manage website updates LinkedIn and content calendar
  
• Oversee EDM campaigns and marketing collateral
  
• Track and report on pipeline and marketing performance
  

Tech & Automation

• Set up and manage tools: CRM project management e-sign reporting dashboards
  
• Champion an AI-first approach using tools like ChatGPT and Claude
  
• Build workflows for proposal drafting research QA and knowledge management
  

Data & Reporting

• Build dashboards using tools like Power BI Looker or CRMs like Pipedrive
  
• Track key metrics: pipeline win rate utilization and margins
  

KPIs Youll Drive

• Bid win rate
  
• Proposal turnaround time
  
• % of processes documented and automated
  
• Marketing-qualified leads (MQLs)
  
• Operating margin improvement
  

What Were Looking For

• Strong experience in operations proposals marketing ops or similar roles
  
• Highly systems-orientedloves building structure and improving workflows
  
• Tech-savvy and confident in learning new tools quickly
  
• Experience with CRM dashboards and automation tools
  
• Solid understanding (and hands-on use) of AI tools and workflows
  
• Detail-oriented with strong written communication skills
