The PA Program Department Assistant has varied responsibilities including but not limited to program operations admissions coordination didactic coordination and clinical coordination. They will work closely with the Program Director Medical Director and Program Faculty to manage and support program operations.
The administrative assistant supports the Program Director Medical Director and Program Faculty and performs various duties as delegated by the Program Director and other program personnel to include but not limited to the following:
Assist Program Director with general correspondence surveys funding applications scheduling appointments and self-study reports
Maintain records regarding Staff Faculty Academic Progress Curriculum and Advisory Committees
Purchase and inventory all office equipment/supplies
Purchase all instructional and laboratory (medical) supplies
Coordinate/schedule various PA Program Committee meetings
Assist Program Director in coordination and data collection for self-study purposes
Compile information for accreditation
Additionally the administrative assistant may be cross trained on additional administrative tasks as needed for optimal program operations.
Key Job Responsibilities:
- Tracks stocks orders and inventories office supplies to ensure adequate materials are available for workplace operation
- Sends receives copies and distributes communications to the appropriate entities according to established policies and procedures
- Schedules logistics and secures resources for meetings conferences travel and work unit operations
- Serves as first point of contact for individuals and groups providing basic organizational information via phone in person and through other communication mediums routing more complex inquiries to the appropriate entities

Compensation:
$17.59 - $20.00 / per hour depending on qualifications and experience
Required Qualifications:
At least 2 years of experience in an administrative assistant role
Requires ability to manage multiple and varied tasks with frequent high levels of urgency or sensitivity
Must be able to work collaboratively and effectively with colleagues in a team environment
Good interpersonal skills are required both written and oral
Proficiency in Microsoft Office Suite including Word Excel PowerPoint and Outlook
Ability to lift 5 lbs.
Demonstrates proficiency in communication (written and verbal).
Strong attention to details.
Effectively manage and organize daily tasks independently and with a team while balancing multiple projects and meeting deadlines.
Accuracy and productivity in completing tasks.
General Administrative Duties.
A high degree of interpersonal competency: professionalism diplomacy judgement and discretion.
Demonstrated ability to develop positive and cooperative relationships with students faculty and colleagues.
Ability to solve complex problems and meet deadlines.
Exceptional analytical problem-solving skills collaboration and matrix management skills.
Education:
Requires a minimum of a high school diploma or GED
Prefer associates degree or higher
