POSITION TITLE: EXECUTIVE ASSISTANT

SENIOR CENTER

USW B GRADE 10

FULL-TIME (35 HOURS PER WEEK)

FULL PAY RANGE: $55888.04 TO $75118.68 PER YEAR


POSITION OVERVIEW:

This Executive Assistant position is a highly responsible professional position that will enhance effectiveness within the Department. This position provides specialized support to the Director to enhance the executives effectiveness by providing information management support and representing the executive to others.

The Executive Assistant performs a variety of responsible comprehensive functions of an administrative and technical nature requiring a high level of judgment and initiative and the ability to interpret statues and guidelines and carry out assignments independently; exercises considerable judgment in responding to inquiries from the general public in managing workload assignments.


ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Is responsible for the efficient and effective operation of the office of the Director through the performance of various administrative functions in the development of office procedures.
  • Acts as the liaison with the public; assists the public in any way possible; provides the public with access to public departmental records; provides information upon request; retrieves information for interested individuals; responds to numerous inquiries from the public committees boards coworkers and town officials.
  • May assistant in the preparation of records related to the departments budget monitors expenditures and balances within office accounts.
  • Develop notices flyers brochures media releases news articles and any other informational materials about programs and services; may also plan functions and events as directed.
  • May be required to attend special meetings and work on special projects.
  • Performs similar or related work as directed required or as situation dictates.
  • May be responsible for applying for federal state and local grants managing grants procurement record keeping and grant closeout.
  • Produces information by transcribing formatting inputting editing retrieving copying and transmitting text data and graphics.
  • Conserves executives time by reading researching and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Prepares reports by collecting and analyzing information.
  • Contributes to team effort by accomplishing related results as needed.
  • Operates computers and peripherals including word processing spreadsheet database software and mainframe computer terminal; operates telephone fax machine and all other standard office equipment and a proficient and effective manner.

KNOWLEDGE ABILITIES & SKILLS

  • Knowledge of standard office practices procedures and equipment.
  • Knowledge of standard accounts and maintenance in support of the department; ability to prepare reports and correspondence.
  • Knowledge and ability to employee records management practices.
  • Familiarity with pertinent state and local laws relating to departmental and town operations.
  • Ability to maintain accurate and detailed records
  • Ability to multitask organizes works independently accomplish task and meet deadlines despite frequent interruptions in a fast-paced environment while maintaining attention to detail.
  • Ability to interact tactfully and effectively with town employees supervisors officials and the general public.
  • Good communication skills; ability to communicate effectively both verbally and in writing.
  • Ability to read and interpret pertinent state and local laws relating to departmental operations.
  • Ability to maintain confidentiality of information.
  • Excellent customer service skills
  • Employee must occasionally lift and/or move up to 25 pounds


EDUCATION & EXPERIENCE:

  • Three five years of administrative experience preferred; experience in municipal government environment is highly desirable.
  • Must possess and maintain a valid Massachusetts Drivers License.
  • An associates degree from an accredited college or university is required and a bachelors degree is preferred. However an equivalent combination of education and work experience may be allowed.
