Project Administrator (Confidential Engineering & Architecture Firm)

Position Overview
The Project Administrator plays a critical role in supporting project managers and technical staff by ensuring project documentation is accurate organized and delivered on time. This position also contributes to the smooth day-to-day operations of the office and serves as a key liaison across internal teams and external partners.
Key Responsibilities
Project & Construction Administration Support
- Coordinate and assemble project specifications and documentation packages
- Track project timelines and proactively support deadlines
- Prepare and manage industry-standard contracts and supporting documentation
- Process submittals including logging assigning reviewers and returning responses
- Manage Requests for Information (RFIs) ensuring timely tracking and resolution
- Maintain organized and accurate project records and files
- Generate weekly status reports on outstanding project items
- Track and update change-related documentation and logs
Administrative Support
- Provide general administrative assistance to project teams
- Support day-to-day office operations and special projects
- Handle occasional office-related tasks such as shipping deliveries and supply coordination
Qualifications
- 5 years of experience in administrative project coordination or AEC (architecture engineering construction) support roles
- Strong organizational skills with exceptional attention to detail
- Proficiency in Microsoft Office and PDF editing tools (e.g. Adobe Bluebeam)
- Experience with project/accounting systems (e.g. Deltek Vision or Vantagepoint) is a plus
- Ability to manage multiple priorities in a deadline-driven environment
- Strong communication skills and a collaborative team-oriented mindset
