Position Overview
The Project Administrator plays a critical role in supporting project managers and technical staff by ensuring project documentation is accurate organized and delivered on time. This position also contributes to the smooth day-to-day operations of the office and serves as a key liaison across internal teams and external partners.
Key Responsibilities
Project & Construction Administration Support
Coordinate and assemble project specifications and documentation packages
Track project timelines and proactively support deadlines
Prepare and manage industry-standard contracts and supporting documentation
Process submittals including logging assigning reviewers and returning responses
Manage Requests for Information (RFIs) ensuring timely tracking and resolution
Maintain organized and accurate project records and files
Generate weekly status reports on outstanding project items
Track and update change-related documentation and logs
Administrative Support
Provide general administrative assistance to project teams
Support day-to-day office operations and special projects
Handle occasional office-related tasks such as shipping deliveries and supply coordination
Qualifications
5 years of experience in administrative project coordination or AEC (architecture engineering construction) support roles
Strong organizational skills with exceptional attention to detail
Proficiency in Microsoft Office and PDF editing tools (e.g. Adobe Bluebeam)
Experience with project/accounting systems (e.g. Deltek Vision or Vantagepoint) is a plus
Ability to manage multiple priorities in a deadline-driven environment
Strong communication skills and a collaborative team-oriented mindset
