DescriptionJob Purpose:
Provides 100% Front Desk coverage to the Healthy Traditions Primary Prevention Demonstration Project by assisting with answering phones and office-related support functions of the project regarding mailings newsletters telephone calls tracking procurement of project supplies minutes of project related meetings travel arrangements and other items as assigned.
QualificationsQualifications:
- Provide front desk coverage and serve as the primary point of contact for employees clients visitors and the public.
- Answer screen and route incoming telephone calls; respond to routine inquiries and relay messages accurately.
- Perform general administrative duties including filing copying scanning data entry and document preparation.
- Maintain office calendars schedules and shared resources.
- Support program or departmental activities by preparing mailings newsletters and routine communications.
- Schedule in electronic health records (EHR) EPIC system and provides necessary forms to fill out when patients check in. Understand all roles of patient check-in eligibility verification insurance verification and enrollment.
- Document meetings by preparing agendas taking minutes and distributing materials
- Assist with tracking supplies procurement requests inventory for program or office needs.
- Arrange travel accommodations meeting rooms and logistical details for staff and program activities.
- Coordinate schedules and communicate updates to internal and external stakeholders.
- Assist with onboarding logistics or frontdesk related orientation activities as assigned.
- Maintain organized electronic and paper records in accordance with departmental policies and procedures.
- High school diploma or General Education Diploma (GED) required.
- Minimum of one (1) to three (3) years of related administrative clerical or front desk experience and/or training.
- Familiarity with medical office procedures including scheduling document handling and clinic workflow.
- Experience handling confidential and sensitive information including working knowledge of HIPAA privacy requirements.
- Funding for this position is provided by a Three-Year Federal Grant
