Position Overview
The Pre-Construction Coordinator supports the successful planning and execution of high-end custom residential projects by managing budgets schedules design coordination and documentation from concept through construction start. This role acts as the bridge between ownership sales design partners consultants and construction teams to ensure projects are fully vetted priced coordinated and ready for a smooth transition to construction.
This position reports directly to the Operations Manager and works closely alongside the project Salesperson to support client communication budgeting and scope alignment during the pre-construction phase.
This position is highly detail-oriented and requires strong communication organization and technical coordination skills in a fast-paced custom home environment.
Primary Responsibilities:
Project Planning & Coordination
Coordinate the pre-construction process from schematic design through permit and construction start
Manage project documentation including drawings specifications and consultant reports
Track design progress and ensure timely deliverables from architects engineers and consultants
Prepare projects for a clean and complete handoff to the construction team
Budgeting & Estimating
Develop and maintain detailed project budgets and cost models
Coordinate subcontractor and vendor pricing bid requests and scope reviews
Analyze bids for completeness accuracy and alignment with project scope
Support value engineering efforts while maintaining design intent and quality
Track budget revisions throughout design development
Support the Salesperson with pricing updates option pricing and scope clarifications as needed
Scheduling
Assist in developing pre-construction schedules and milestone timelines
Track critical design pricing and permitting deadlines
Coordinate internal reviews and decision points to maintain schedule alignment
Design Modeling & Consultant Coordination
Serve as the primary point of contact during pre-construction for architects engineers and designers
Create and maintain custom SketchUp models to support design development coordination and client communication
Develop custom 3D models and renderings to assist with constructability reviews scope clarification and design decision-making
Coordinate mechanical electrical plumbing and low-voltage systems within SketchUp models to identify conflicts routing challenges and spatial constraints early in the design process
Support design coordination between architectural intent and MEP systems prior to permit and construction pricing
Facilitate design coordination meetings and document action items
Permitting & Approvals
Coordinate permit submittals and responses with design teams and jurisdictions
Track permit status corrections and approvals
Assist with utility coordination ROW permits and agency reviews as required
Construction Handoff & Documentation
Prepare complete build packages including approved plans budgets schedules scopes and consultant documents
Assist in setting up project management software and documentation standards
Support project kickoff meetings with field leadership
Create and organize custom electronic customer completion binders including warranties manuals inspections drawings and closeout documentation
Maintain clear structured digital records suitable for client turnover and long-term reference
Qualifications
37 years of experience in residential construction estimating or pre-construction
Experience with high-end custom homes or complex residential remodels preferred
Strong understanding of construction drawings specifications and residential building systems
Demonstrated experience using SketchUp to create custom models and visualizations
Working knowledge of MEP coordination and spatial planning within 3D models
Excellent organizational communication and documentation skills
Ability to manage multiple projects and deadlines simultaneously
Required Software Skills
Microsoft Outlook Word and Excel
BuilderTrend(or similar residential construction management software)
Jobsite QR code systems for document access and field coordination
Adobe Acrobat and/or Bluebeam for plan review markups and document management
SketchUp for 3D modeling coordination and visualization
AutoCAD (working knowledge preferred for plan review and coordination)
Preferred Skills
Advanced SketchUp modeling and rendering capabilities
Experience coordinating MEPs low-voltage and specialty systems during pre-construction
Familiarity with local permitting and inspection processes
Ability to identify risk scope gaps and cost drivers early in design
Experience creating structured professional electronic closeout and completion binders for custom homes
