The Role
This role is responsible for ensuring that tender submissions EOIs and proposals are compiled and submitted on time according to requirements.
The Senior Submissions Coordinator works closely with the Bid and Submissions teams and key stakeholders across the business to collate and compile all required information. As 2IC to the Submissions Manager and taking ownership of smaller bids the role drives bid planning and development and utilises strong writing editing and proofreading skills to ensure high quality submissions
Tasks & Responsibilities
Pre-Submission
Attend bid planning and strategy meetings
Assist in the development of key messaging and bid strategy
Review tender opportunities
Develop writing and coordinators check-list
Advise Sharepoint folder structure set up permissions and maintenance
Maintain and build on proposal document knowledge bank including CVs submission templates project sheets and capability statements in SP and AutogenAI library
During Submission
Coordination of tender submissions EOIs and proposals from beginning to end
Interface management and drive engagement with Section Champions and SMEs
Submission document management (traffic lights and meta data updates)
Email notification of Bronze Silver and Gold deadlines to Leads and SMEs (contributors)
Maintain consistent messaging across all documentation and uphold the highest standard in proposal presentation
Run submission check in meetings and follow up on actions
Drive content creation in AutogenAI as required
Editing and proofing of documents before final review
Ensure a high attention to detail with an emphasis on accuracy and thoroughness
Organisation and management of technical information between various and multiple business units
Coordinate multiple concurrent proposals effectively in a timely manner
Gathering sorting and proofing of information from various departments and stakeholders
Ensure a professional presentation that adheres to company styles
Work closely with the graphic designer to format bid content and production
Prepare Mandatory Responses where required
Support Bid Manager and Submissions Manager as required
Edit existing content and write new content as required
Involvement in tender meetings with various and multiple stakeholders
Management of Bid Writers regarding writing and editing of Returnable Schedule Resourcing and coordination of Section Champions and SMEs to ensure Bronze Silver and Gold deadlines are met
Qualifications & Experience
Formal Studies in related discipline
Minumum 6 years experience in bid/tender coordination role or similar
Construction/Infrastructure experience essential
Advanced knowledge of Office 365 (including Excel Word Power Point Share Point)
Knowledge of Adobe Suite
Strong Knowledge of AutogenAl
