Job Summary

Serves as administrative staff to the Vice President as well as the Southeast and Gulf Coast Region Directors and Associate Directors. Assists in the administration of programs and activities relating to all aspects of the Southeast & Gulf Coast office operations. Support will be provided to the Gulf Coast office remotely although minimal travel may be necessary.

Duties/Responsibilities

  • Provides administrative support to the Vice President Region Directors and Associate Directors
  • Coordinates all matters pertaining to fiscal transactions and administrative matters in conformity with API policies and procedures.
  • Works with the team to manage budgets and prepare financial reports as well as other required reports.
  • Responsible for administrative duties such as the filing and ordering of office supplies answering telephone/taking messages typing and maintaining all office equipment.
  • Knowledgeable about all operations of the office including activities and special reports and ensures that work is completed and submitted on time.
  • Understands and stays current on state legislative processing routines and ethics and lobbying requirements; completes and files reports with states.
  • Maintains liaison with various legislative offices as required obtaining needed information and copies of bills.
  • Maintains legislative data base and keeps current during legislative session.
  • Helps compile articles and pertinent media clippings in the region.
  • Sees that all committee rosters and mailing lists are kept up-to-date and others are notified of any changes.
  • Assists with the administration and staffing of various events.

Key Relationships

  • Works closely with the Vice President Region Directors and Associate Directors in the day-to-day operation of the regional offices and provides the appropriate support as necessary.

Qualifications

  • Requires 6-8 years of experience in a similar role and subject matter expertise.
  • Bachelors degree in relevant area or other related field equivalent work experience. Some positions may only require an Associates degree/technical diploma or other related field equivalent work experience.
  • Requires comprehensive knowledge of API policies practices and procedures.
  • Experience or interest in public policy and government affairs.
  • Experience or interest in the natural gas and oil industry.
  • Tech savvy and able to pick up new technology quickly.
  • Self-starter and able to take initiative and be innovative.
  • Experience with Microsoft Office 365 (Teams excel word etc.).

Physical Requirements

  • Able to remain in a stationary position working on a computer
  • Move about the office to access office machinery meeting rooms etc. on occasion
  • Operate a computer and other office machinery such as printers and copy machines
  • Transport items and equipment up to 10 lbs. on occasion

Travel Requirements

  • Up to 25%

Percentage of travel time expected for the position where the travel occurs such as locally or in specific countries or states and whether the travel is overnight.
