Facilities and Admin executive Analyst
Job Summary
- Support day-to-day administrative operations of the Japan office.
- Ensure smooth functioning of office facilities utilities and supplies. dealing with vendors Greet visitors courteously and arrange refreshments (tea/coffee).
- Act as the first point of contact for all visitors clients and guests.
- Manage visitor registrations entry protocols and badge issuance.
- Coordinate meeting room bookings and ensure readiness prior to visits.
- Coordinate with external agencies such as housekeeping pantry services and facility management.
- Supervise housekeeping staff to ensure cleanliness and hygiene standards are maintained.
- Liaise with vendors for routine services repairs and maintenance.
- Track vendor performance and ensure timely service delivery.
- Support invoice processing and maintain vendor documentation.
- Ensure adherence to workplace safety and security protocols.
- Coordinate with building security and management teams.
- Support emergency procedures and report incidents promptly
- Maintain office records documentation and filing systems.
- Assist in organizing office events meetings and employee engagement activities.
- Provide administrative support to leadership or teams as required.
- Ensure compliance with company policies and local regulations.
- Support leadership and teams with ad-hoc administrative requirements.
Qualifications :
Must have Skills : Microsoft Excel General Operations Communication & collaboration (Strong) Japanese English
