Job Summary
Facility Executive Soft Services (Level 4)
Facility Executive - Soft Services role involves managing various aspects related to facility
operations and services.
Main Responsibilities:
Site Operations Management:
o Monitor and oversee housekeeping-related activities within the facility.
o Arrange consumables and supplies for client or VIP visits.
o Interface with pest control for pest management activities.
o Monitor mailroom operations.
o Prepare daily weekly and monthly reports.
o Collect vendor documents for compliance audits.
Facility Maintenance and Administration:
o Take facility rounds to identify and address any issues
o Manage the facility team to ensure timely deliverables.
o Inspect services regularly to maintain performance standards.
o Assist the Facility Manager (FM) in administrative functions security matters and
other client-related tasks.
o Own day-to-day administration including stock tracker reports.
Vendor Management:
o Groom and monitor vendors in real time ensuring adherence to service level
agreements (SLAs).
o Conduct background checks for vendors.
o Process vendor invoices.
Additional Responsibilities:
o Coordinate with space planners for any office moves.
o Maintain soft services stores and stocks.
o Oversee laundry gym spa and wellness room requirements.
o Manage horticulture needs.
o Handle sports equipment stock and issuance.
o Maintain the asset register.
o Ensure timely availability of food and beverage items.
o Submit monthly accruals to the FM.
o Facilitate vendor staff training and development.
o Manage library books and stocks.
Qualifications & Skills:
o Qualifications in property building or facilities management are preferable.
o Excellent people skills and the ability to interact with a wide range of client staff.
o Strong organizational and communication skills.
