JOB PURPOSE

Supports the Practice Supports and Resources department (PSR) in the delivery of high-quality resources and programs to support continuing competence and best practices for paralegal and lawyer licensees. Under the direction of the Director and working closely with Managers on a project-by-project basis manages administrative tasks and coordinates project activities to develop maintain publish and promote resources programs and outreach initiatives. Serves as a centralized resource for departmental projects and for statistical reporting related to the Practice Management Helpline (PMH) Coach and Advisor Network (CAN) and Program Accreditation.

QUALIFICATIONS

  • Requires completion of a 2-year college program in Legal Studies Arts English or a related discipline.
  • Requires a Law Clerk designation or equivalent training.
  • Project management certificate is an asset.
  • Requires a minimum of 5 years experience providing administration and project coordination preferably in a legal/regulatory environment.
  • Professional Knowledge:
    • The Law Societys mandate issues affecting the Society and the legal community.
    • Professional responsibility and practice manage standards applicable to licensees.
    • Legal concepts and processes particularly in the areas of family criminal wills and estates civil litigation criminal and paralegal practice.
    • Adult Education experience is an asset.
  • Technical Skills:
    • Microsoft Office Suite / 365 (Word Excel PowerPoint etc.).
    • Experience with Project Management Software is an asset.

KEY ACCOUNTABILITIES

Operations and Administration

  • Manages day-to-day departmental logistics including calendars meetings documented procedures knowledge systems and outreach event coordination.
  • Supports internal communication onboarding and team initiatives ensuring smooth administrative operations.
  • Maintains organized digital resources by creating organizing and maintaining SharePoint folders electronic libraries or subsites for internal and cross-departmental use.
  • Collects and analyzes data for internal reports surveys and benchmarking.
  • Prepares and maintains statistical reports on all PSR support services including PMH CAN and Program Accreditation.
  • Drafts content for presentations and leadership updates identifies process gaps and supports continuous improvement initiatives across the department.

Project Coordination and Resource Development Support

  • Coordinates and tracks departmental projects deadlines initiatives deliverables budgets and status updates.
  • Maintains project resource and task management trackers and calendars follows up on outstanding tasks and provides operational support to PSR Managers.
  • Acts as a liaison across internal teams to ensure alignment and collaboration.
  • Supports team members by providing clarifications reminders of deadlines and assistance with project tasks and deliverables.
  • Ensures the department meets best project management practices on an ongoing basis with respect to its processes and special projects.
  • Supports the resource project development maintenance and quality control of internal and external resources.
  • Coordinates updates editing translation remediation and media production in collaboration with Communications department.
  • Manages version control indexing and scheduling updates for online resources and departmental programs.

Financial Planning and Tracking

  • Prepares and maintains financial and statistical reports.
  • Processes payments invoices and expense reports monitors accounts payable and assists with budget planning and proposal development.

Team Membership

  • Builds collaborative working relationships with team members key information providers and external service providers.
  • Documents procedures systems and processes and proactively shares information with the team and other staff to ensure consistent implementation of best practices.

WORKING ARRANGEMENT

The Law Society has introduced a Distributed Workforce Model to leverage flexibility and agility and to maximize employee productivity and engagement. Work arrangements will be determined by role and departmental requirements. The working arrangement for this position has been classified as primarily remote with a requirement to attend the office on an occasional basis.
