Position Summary:

The Invoicing Operations Trainee will support day-to-day invoicing activities for assigned accounts or portfolios. This includes ensuring accurate and timely invoice creation validation and submission across various ERP systems while maintaining compliance with company policies and customer requirements. This role involves reviewing billing data resolving invoice discrepancies coordinating with cross-functional teams (e.g. Sales Fulfillment and Collections) and monitoring invoice status to ensure timely processing and delivery. The trainee will also be responsible for maintaining and updating trackers supporting reporting requirements and assisting in resolving billing delays. Additionally the trainee is expected to participate in process improvement initiatives and other strategies identified by management to reduce unbilled orders improve billing cycle time and support overall revenue recognition and cash flow objectives while adhering to Vertivs invoicing and compliance standards.

Job Responsibilities:

  • Reviews purchase orders all Vertiv product orders within the required
  • turnaround time of not exceeding 24 hours.
  • Reviews CPQ quote to ensure accuracy of order versus submitted PO.
  • Processes after-invoice adjustments in a prompt manner to avoid unnecessary credit hold to customers.
  • Generate proforma invoice and Order Acknowledgement as requested.
  • Processes Manual Invoice for customers as needed in IFS.
  • Review System generated invoices.
  • Perform any reporting activity or task assigned by immediate supervisor as needed or in fulfillment of and in relation to essential functions.
  • Performs milestone billing on Project Orders based on assigned portfolio.
  • Performs obligations and cost budgeting in Project module in EBS.
  • Performs Revenue Recognition on Project orders based on assigned customer.
  • Ensures Order-to-Cash processes are completed efficiently.
  • Identifies customer needs through communication and probing.
  • Creates solutions to customer problems. Provide sound recommendations to their queries. Provides resolutions for the first time.
  • Assists customers in handling servicing follow-up communication and closure of issues.
  • Completes workload on time. Monitors if transactions are processed in a timely manner.
  • Implement error-proofing methods to ensure all transactions done are accurate.
  • participates in conferences calls meetings and discussions with customers.
  • Adheres to shift schedules and attendance expectations to ensure consistent support to customers and a balanced workload for peers.
  • Coordinates with other teams/support to complete the request of customers.
  • Monitors team service level and assist in workload distribution.
  • Assists colleagues in answering general escalations from customers.
  • Handles specialized queries from customers.
  • Conducts team/functional/business overview presentations during counterpart visits as required by team lead/supervisor.
  • Reviews ERP reports to monitor sales order progress backlog identify order delays shipment holds and contract and credit holds and take necessary steps to notify customers.
  • Works with Project Managers Sales Team and others to lead the development of a plan for timely and accurate invoices at the creation of an order.
  • Records and submits periodic and/or quarterly transaction records log sheets and/or trackers.
  • Plans executes and manages own workload and projects in cooperation with line leaders.
  • Communicate with the team on best practices lessons learned process and product updates during team huddles/meetings.
  • Manages team common mailboxes and delegates tasks to colleagues.
  • Uses effective communication tools like flow charts process flows diagrams etc. to effectively communicate products and processes convey information and respond to queries/requests coming from different levels.
  • Expedites collections through communication to all departments to meet the customers requirements.
  • Assists other departments in resolving customer issues related to order processing.
  • Perform any reporting activity or task assigned by immediate supervisor as needed or in fulfillment of and in relation to essential functions.
  • Assists other departments in resolving customer issues related to billing and invoices.
  • Identifies problems areas and sources offers possible solutions and escalates to line leaders/seniors when necessary.
  • Completes personal individual development plan and implements agreed training/development activities.
  • Assists the supervisor in identifying team opportunities and challenges. Provide sound recommendations to line leaders and/or stakeholders by translating enhancing and consolidating information into forms that can be used for decision making of the top management.
  • Assists in identifying and implementing any process improvements related to order processing cycle.
  • Assists in keeping up-to-date support documents initiates and apply changes to process documents when needed.
  • Completes performance report for personal development.
  • Actively participates in team activities and initiatives.
  • Fulfill other reasonable duties and projects as required.
  • Serves as back-up for next level similar or related function for business continuity.
  • Coordinates and networks with other members of the team to complete assigned projects and programs.
  • Participates in cross-business unit committees as a contributor.

Qualifications:

  • Bachelors Degree of any 4-year course.
  • Bachelors degree in accountancy or financial management is preferred.
  • Effective communication and interpersonal skills.
  • Must be assertive and confident.
  • Must have positive attitude and focus on customer service.
  • Highly organized detail-oriented committed to delivering results meeting multiple deadlines and able to work under pressure.
  • Keen attention to details.
  • Knowledgeable in the use of MS Office Software a plus.

  • Willing to work the night shift and work on Philippine Holidays
