Job Summary
Work includes scheduling managing and disseminating calendars controlling access to the 1 Star Customer/Senior Executive and preparing correspondence. This position requires wide latitude of discretion regarding workflow and priorities in addition to in-depth knowledge of various executives styles methods of operation and authorities. The Executive Assistant will provide support to the staff functions with direct administrative executive support services. The duties may include interfacing with high-ranking officials and stakeholders. Responsibilities also include coordinating meetings visits and trips managing calendars coordinating/managing visitor access within necessary security protocols scheduling/reserving conference rooms proofreading/editing/routing/finalizing correspondence preparing senior leadership for meetings printing read ahead materials and administering any related requirements.
Roles and Responsibilities:
- Answer and place telephone calls direct calls take messages and follow-up accordingly.
- Maintain an efficient office environment to include assisting in the ordering of supplies/equipment arranging for office equipment repairs coordinating office renovations and participating in event planning.
- Manage the workflow of multiple matters within a continuously adapting schedule for the assigned General Officer/Senior Executive.
- Prepare to host visitors to include passing security clearances and escorting.
- Maintain an awareness of internal structural levels and hierarchy within the organization.
- Research and prepare background information on meeting attendees and/or topics of interest for the meeting.
- Process travel expense reports.
- Disseminate schedule to appropriate staff and act as a liaison between the Senior Executives.
- Develop creative approaches and alternatives to the resolution of issues and problems.
- Configuration management of top-level org chart updated monthly and posted to QMS for company-wide access.
- Configuration management of Programs-by-Division book published/printed annually updated quarterly and disseminated to leadership via softcopy.
Basic Qualifications:
- Bachelors Degree
- 15 years of closely related experience preferably supporting an Executive
Preferred Qualifications:
- Strong communication organizational and time-management skills with a collaborative work ethic
- Expertise with Microsoft Office suite of computer software and programs specifically Microsoft Outlook
- Expertise in coordinating travel through the Department of War Defense Travel System
- Detail-oriented with proven multitasking abilities while operating in a high tempo environment
- Must be a U.S. Citizen eligible for a Secret Security Clearance
- Willing and available to travel domestically and/or internationally
