A prestigious international law firm is seeking an experienced Senior Conveyancing Secretary (Bonds) with strong Investec bond experience to join its high-performing Real Estate team based in Sandton.
This role is suited to a detail-oriented deadline-driven professional with the ability to manage high-volume bond files from inception to registration and closure while delivering exceptional service to clients and stakeholders.
Role Summary
To provide comprehensive support to the Real Estate team in the preparation management and execution of conveyancing and bond-related documentation ensuring accuracy compliance and efficiency throughout the process.
Key Responsibilities
Conveyancing & Bond Administration
Manage bond files from inception to finalisation
Handle commercial mortgage bond registrations specifically Investec bonds
Prepare and process bond registration and cancellation documents
Draft consents to cancel and check guarantees
Ensure compliance with FICA and regulatory requirements
Client & Stakeholder Liaison
Liaise with banks consultants attorneys and clients
Deliver professional responsive and results-driven service
Manage queries and resolve issues efficiently
Systems & Documentation
Utilise Lexis Convey e4 and document management systems effectively
Ensure all documents meet house style accuracy and turnaround standards
Maintain proper file management opening and closing procedures
Administrative & Office Support
Provide full administrative and secretarial support to the team
Manage diaries meetings and coordination
Oversee archiving and file management processes
Assist with typing document preparation and overflow work
Financial & Compliance Management
Ensure fees are billed and collected prior to registration
Monitor unbilled disbursements and take corrective action
Conduct conflict checks and engagement documentation
Excellent written and verbal communication skills (English)
Advanced knowledge of MS Office Lexis Convey and e4
Strong organisational and administrative skills
Excellent attention to detail and accuracy
Ability to manage high volumes and meet tight deadlines
Strong interpersonal and client relationship skills
Ability to work under pressure and overtime when required
