Role Overview
We are looking for a HubSpot-proficient CRM & Marketing Operations Associate to take full ownership of our HubSpot CRM from day one. This is not a learning-on-the-job HubSpot role you will be expected to come in immediately diagnose the current state of our CRM fix existing issues and maintain a clean structured system as we scale our outbound pipeline. You will work directly under the Outbound Marketing Manager who leads outbound strategy and automation and your job is to make sure the CRM backbone supports that motion without gaps.
Responsibilities: HubSpot CRM Ownership
Conduct a full audit of the existing HubSpot setup identify duplicate contacts and companies fix incorrect lifecycle stages and resolve structural and data integrity issues
Take ongoing ownership of CRM health as new leads enter the system ensure every record is complete correctly staged and properly assigned
Build and maintain segmented contact lists based on ICP criteria: company type employee count industry and geography
Set up and manage HubSpot properties workflows and enrollment logic that support the outbound motion led by the Outbound Marketing Manager
Maintain clean reliable pipeline reporting deal stages lead source tracking and conversion visibility must always reflect accurate data
Campaign Support
Manage the technical sync between HubSpot and outbound campaign tools ensuring reply statuses bounces and sequence completions write back correctly to contact records
Enroll leads into the correct sequences based on ICP segment and campaign criteria defined by the Outbound Marketing Manager
Flag and resolve data hygiene issues across active campaigns before they impact SDR performance
Reporting
Own HubSpot dashboards and reporting pipeline health lead source performance SDR activity and stage conversion rates
Produce a weekly CRM health snapshot covering data completeness active lead status and any anomalies
Requirements
Minimum 2 years of independent hands-on HubSpot experience this is the single most important requirement. You must have managed a HubSpot CRM on your own: building workflows managing contact properties creating lists configuring pipelines and troubleshooting data issues
Proven ability to clean and restructure a CRM that has accumulated dirty data duplicates mismatched properties broken lifecycle stages
Solid understanding of how lead lifecycle stages work and why accuracy at each stage matters for sales reporting
Comfortable building HubSpot reports and dashboards without guidance
Strong attention to detail data errors should bother you instinctively
Good written English
Preferred
Experience integrating HubSpot with outbound campaign or automation tools
Familiarity with how enriched lead data maps to CRM contact properties
Basic knowledge of Zapier Make or webhook-based integrations
Exposure to Clay or similar data enrichment tool
