Full-Time Corporate Office
Position Overview: Excelsior Defense Inc. a Service-Disabled Veteran-Owned security firm with over 25 years of operational experience is seeking a Payroll & Staff Administrator to support our corporate operations This role is operationally critical and responsible for ensuring payroll accuracy workforce compliance and administrative support across multiple contracts.
Schedule & Compensation
Schedule: Monday Friday
Hours:(1-hour unpaid lunch)
Pay Rate: $20.00 per hour
Location: Corporate Office St. Petersburg FL
Core Responsibilities:
- Payroll & Timekeeping
- Process and audit bi-weekly payroll using Dominion Payroll
- Review and verify timekeeping records from Connecteams
- Identify and resolve discrepancies missed punches and reporting errors before payroll deadlines
- Coordinate with Operations to ensure accurate time submissions
Onboarding & Employee Administration:
- Manage onboarding for new hires (employment documents compliance forms system setup)
- Verify licensing and certifications remain active (Class D / Class G where applicable)
- Maintain employee records and ensure compliance with company and contract requirements
Benefits Administration:
- Assist employees with benefit enrollments and changes (health dental vision)
- Coordinate with Carriers/Brokers to ensure accurate deductions and eligibility tracking
Billing & Contract Support
- Assist with compiling labor reports for invoicing
- Ensure alignment between payroll hours and billable contract hours
- Support contracting team with administrative documentation
Qualifications
- Minimum 2 years experience in payroll HR administration or workforce management
- Experience with payroll and timekeeping systems (Dominion / Connecteam preferred)
- Strong attention to detail and ability to manage sensitive information
- Proficient in Microsoft Excel and administrative reporting
- Ability to work in a structured deadline-driven environment
- Preferred Experience
- Multi-site or contract-based workforce management
- Security industry or licensed workforce familiarity
- Government or certified payroll exposure
