Job Summary

Key Roles and Responsibilities:
Administrative Support: Managing calendar meetings appointments and travel arrangements. Prepare agendas take minutes of meetings and follow up on action items. Handle correspondence emails calls and documentation on behalf of the HOD.
Act as a point of contact between the Managing HOD and internal/external stakeholders.
Coordinate with different departments to ensure timely flow of information. Draft professional emails reports presentations and official communications.
Assist in planning tracking and execution of projects assigned by the HOD. Maintain record files MIS reports and confidential documents.
Support day-to-day operations and ensure tasks are completed within deadline.
Supports client directly as the go-to person for all needs including daily administration calendar management travel schedules project coordination delivering presentations answering calls etc.
Manages a high-volume travel schedule.
Conserves clients time by reading researching and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
Coordinates projects by capturing timelines and strategies and delivering progress updates.
Prepares meeting rooms for appointments coordinates schedules and greet customers and clients prior to meetings.
Keeps prepares and distributes minutes of meetings.
Confidentiality & Compliance: Handle sensitive information with high level of discretion and professionalism. Ensure compliance with company policies and procedures.
The ideal candidate for this role should possess excellent verbal and written communication skills strong organizational and time management abilities and proficiency in MS Office
