Job Summary

This role involves managing the full employee lifecycle from pre-onboarding to exit. Key responsibilities include coordinating documentation and induction programs conducting onboarding sessions maintaining personnel records in HRIS and ensuring accurate data flow across payroll attendance and leave systems. The position also supports employee engagement through events communications and rewards programs while acting as a point of contact for queries. Additionally it covers contract resource onboarding preparation of employee letters and timely handling of exit documentation ensuring smooth HR operations and a positive employee experience.

Key Accountabilities

Employee Pre-Onboarding & Onboarding:

  • Coordinate with prospective joiners once the offer is released to complete the necessary documentation for onboarding.
  • Coordinate with various departments to set up for the Day 1 and Day 2 onboarding sessions.
  • Hold the required onboarding sessions for New Joiners on Day 1
  • Managing and sharing invites and schedules for the new joiners Onboarding sessions
  • Prepare appointments and other employee request-based letters.
  • Share new joiner documents required for payroll process with the finance team
  • Maintain the documentation for the personnel files and folders.
  • End to end coordination for monthly induction program.

Employee Records and Data Management:

  • Update employee records on timely basis in HRIS.
  • Ensure accuracy and confidentiality of employee data.
  • Assist in generating reports related to HR operations.
  • Provide reports to external & internal stakeholders as required time to time.
  • Manage the employee communications related to Birthday and Anniversary milestones.
  • Coordination with the data integration team for data flow in the leave attendance and payroll management system

Employee Engagement and Communication:

  • Assist in organizing employee engagement activities and events.
  • Act as a point of contact for employee queries and provide timely resolution.
  • Coordination for R&R distribution and communication with employees
  • Follow up with the employees for various pending surveys/activities.

Contract resources data management

  • End to End onboarding process for contract resources in the HRIS system

Exit Process Management

  • Provide employees with exit related documents on timely basis

People Specification

  • Graduate in any field; MBA preferred or any related
  • Experience in HR operations or a related field.
  • Proficient in MS Office; hands-on working experience on any HRIS payroll systems is a plus.
  • Excellent communication and collaboration skills to work with stakeholders.
  • Self-starter with the ability to work independently.
  • Ability to multitask and manage time effectively.
  • Attention to detail and accuracy in handling policies and employee data.
  • Effective people and interpersonal communication skills.
  • Strong problem-solving skills and the ability to handle sensitive information with discretion.
