Team Assistant
Job Summary
We are seeking a highly organised and detailfocused Team Assistant to provide critical support to our corporate office Legal & Sustainability function. This role reports to the VP Legal & Sustainability and will provide personal assistant support to them along with administrative support across the broader team.
This position is ideal for someone who thrives in a fastpaced professional environment enjoys working with detail and is confident managing multiple administrative processes with discretion and accuracy.
Key responsibilities:
- Provide personal assistance to VP Legal & Sustainability including diary management
- Diary management coordination of team meetings and team logistics including travel bookings and catering
- Assist with correspondence letters document filing and record management
- Support legal matter management in collaboration with external law firms
- Set up and administer new legal matters within the legal tracking system
- Assist with annual purchase orders (POs) for legal services
- Process and upload monthly legal invoices and track legal spend against budgets using spreadsheets
- Assist with antitrust and compliance training administration and audit preparation
- Oversee and administer internal document execution procedure and compliance
- Support internal and external compliance and governance audits
- Assist with coordinating document execution and obtaining required signatures
- Distribute legal review requests from Supply Chain to the appropriate team members and track progress
Qualifications :
You will be someone who takes pride in being organised reliable and thorough. You will bring:
- Exceptional attention to detail and accuracy
- Strong organisational and time management skills
- Confidence managing confidential and sensitive information
- Experience as an Executive Assistant or administrative roles supporting a team ideally within a legal team
- Strong competency in Microsoft Office particularly Excel Outlook and document management
- The ability to manage competing priorities and work collaboratively with multiple stakeholders
