Summary:
The Data Entry Clerk plays a critical role in maintaining accurate organized and up-to-date records across various departments within the organization. This position is responsible for inputting verifying and managing large volumes of data with precision and efficiency. The ideal candidate will ensure data integrity by cross-referencing sources identifying discrepancies and implementing corrective measures promptly. This role supports operational efficiency reporting accuracy and compliance with internal and external standards. By maintaining a high level of attention to detail and consistency the Data Entry Clerk contributes directly to informed decision-making and streamlined business processes. This is a foundational position that supports the broader data infrastructure of the organization.
Responsibilities:
- Accurately input data from various sources (paper forms digital files emails databases) into designated systems.
- Verify data for accuracy completeness and consistency using established validation procedures.
- Maintain and update digital and physical records in compliance with company policies and data security standards.
- Identify and resolve discrepancies or errors in data entries escalating critical issues when necessary.
- Organize and file documents according to departmental protocols and retention schedules.
- Support team members by providing timely access to accurate data for reporting and analysis.
- Assist in the preparation of reports and summaries based on entered data.
- Adhere to strict confidentiality and data protection regulations (e.g. GDPR HIPAA or industry-specific compliance).
- Collaborate with IT and departmental leads to troubleshoot system issues or data integration challenges.
- Continuously improve data entry processes through feedback and process optimization initiatives.
Requirements
Requirements:
- High school diploma or equivalent; associates degree or certification in data management is a plus.
- Minimum of 12 years of proven experience in data entry administrative support or a related role.
- Proficiency in Microsoft Office Suite (Word Excel Outlook) with strong keyboarding skills (60 WPM).
- Experience with database software (e.g. Salesforce SAP or similar enterprise systems) preferred.
- Exceptional attention to detail and accuracy under time constraints.
- Strong organizational and time management skills with the ability to multitask effectively.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Basic understanding of data validation error detection and correction techniques.
- Familiarity with data privacy regulations and compliance standards.
- Ability to work independently and as part of a team in a fast-paced environment.
