About the Position:


The HR AssistantStaffing Coordinator performs highly skilled duties as a confidential assistant to the Human Resources Director. The person in this position is required to exercise the highest level of discretion and judgment in speaking for and acting on behalf of the Human Resources Directorand in providing confidential tasks and technical support services. An ability to comprehend and apply policies procedures regulations and rules is required.

The position entails a high level of outside and inside contacts which require knowledge and handling of very sensitive information and a mature ability to handle crises. The position requires an excellent sense of detail and sensitivity to discrepancies. Frequent interruptions diversity of tasks phone traffic work schedule management and extensive need for public contact make office management and task accomplishment challenging.

ESSENTIAL DUTIES AND RESPONSIBILITIES (other duties may be assigned):

  • Provides administrativesupport to HR Director.
  • Updates and/or write job descriptions for job postings.
  • Posts open positions on Applicant Tracking System (TalentED).
  • Screens responses to job postings; makes appropriate recommendations to hiring managers.
  • Assists with coordination of job interviews and preparation of interview packets.
  • Follows up on reference checks verification of employment for prospective hires.
  • Implements background checks/fingerprinting.
  • Point of contact for pre-employment screening physicals.
  • Assists with employee orientation and initial onboarding (access badges technology access etc).
  • Completes entry of new hires into HRIS system (Tyler Technologies).
  • Keeps human resources files and documents organized.
  • Prepares employee personnel files and maintains personnel files to ensure legal compliance and compliance with human resources record retention regulations. Maintains electronic and hardcopy personnel records.
  • Creates and initiates communication to applicants regarding status of employment and sends correspondence as requested or needed.
  • Answers inquiries and informs prospective candidates of application and position posting status and answers general HR questions.
  • Ensures proper documentation is maintained and formulates basic correspondence and/or reports.
  • Assists in new employee orientation and works with other departments to ensure completion of paperwork and documentation.
  • Performs other duties as assigned by the Director of Human Resources.
  • Communicates in a timely manner on various levels for the HR Directorboth verbally and in written form to insure information flow from the HR Directorto other district personnel and the general public.

EDUCATION AND/OR EXPERIENCE:

High school diploma or general education degree (GED); equivalent to three years training/experience in recruiting or staffing; Human Resources experience highly (English/Spanish) skills a plus.

KNOWLEDGE SKILLS AND ABILITY:

  • Ability to apply common sense understanding to carry out instructions furnished in written oral and diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Demonstrated ability for mature judgment and decision-making.
  • Ability to maintain confidentiality.
  • Demonstrated ability to operate a Personal Computer and related software including specialized programs.
  • Ability to develop effective working relationships with staff and the school community. Ability to communicate clearly and concisely both orally and in writing.
  • Ability to perform duties with awareness of all district requirements and Board of Trustees policies.
  • Ability to read and interpret documents such as safety rules operating and maintenance instructions and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of employees.
  • Ability to add subtract multiply and divide in all units of measure using whole numbers common fractions and decimals.
  • Ability to compute hourly daily and contractual rates.
