Job Summary
JOB SUMMARY:
The Logistics and Materials Coordinator is responsible for managing the accurate tracking movement and organization of materials equipment and supplies across multiple locations. This role utilizes logistics software (HCSS) to maintain asset and operational data while coordinating shipments documentation and compliance with company policies. Success in this role requires initiative critical thinking and the ability to prioritize and execute projects efficiently in a fast-paced high-pressure environment.
ESSENTIAL FUNCTIONS:
- Develop update and maintain standard operating procedures and protocols to ensure accuracy and efficiency of materials and equipment movement.
- Utilize equipment management software (HCSS) to track assets equipment maintenance and repairs utilization costs location and other key data.
- Work closely with Project Management teams and vendors to ensure timely delivery of equipment and materials to remote and challenging field locations.
- Assist with organizing staging and loading shipping containers and flats in preparation for logistics moves.
- Assist with inventory management organization and storage at company yards.
- Coordinate and document parts and materials for logistics operations including land water and air freight shipments ensuring compliance with relevant regulations.
- Act as a direct conduit between operations maintenance personnel and dispatch to facilitate smooth workflow.
- Maintain positive and professional working relationships with vendors freight carriers and other external partners.
- Collaborate with Logistic Project and Equipment Managers to plan and execute equipment mobilizations and demobilizations.
- Provide Management and Project Management Teams with logistics support and solutions including research reporting and recommendations for process improvements.
- Coordinate administrative equipment needs with the Logistic & Equipment Manager including registrations certifications permits licensing etc. with both the State of Alaska and federal agencies.
- Implement and ensure adherence to Logistics policies and procedures ensuring consistent compliant and efficient department operations.
- Monitor vendor performance regarding cost quality and delivery; negotiate with vendors as needed to ensure best possible pricing.
- Assist purchasing agents with shipping and delivery of materials parts and supplies.
- Travel to field locations (approximately 10% of the time) to support barge loading logistics setup or troubleshooting.
- Actively participate in periodic staff operational and safety meetings.
- Manage multiple Outlook 365 inboxes ensuring timely responses and coordination across projects.
- Support process improvements for inventory management shipping efficiency and logistics tracking to optimize overall operations.
- Perform other duties as assigned.
SUPERVISORY FUNCTIONS:
This position does not have supervisory responsibilities.
KNOWLEDGE SKILLS ABILITIES:
- Knowledge of materials management coordination and inventory control processes for remote and multi-modal operations.
- Knowledge of hazardous materials transport and handling including compliance with DOT OSHA and EPA regulations.
- Knowledge of Alaska and Pacific Rim logistics requirements including land water and air freight operations remote site mobilizations and barge transport procedures.
- Knowledge of Alaskas and Pacific Rims freight industries including vendor networks carriers and regional shipping constraints.
- Ability to work on a team with other construction and logistics professionals toward common goals.
- Ability to communicate professionally and effectively with employees business partners and clients via written verbal and electronic methods (email phone radio).
- Ability to work independently while collaborating with others; ability to work with employees business partners and customers in a friendly and positive manner.
- Interpersonal skills to negotiate and coordinate with vendors freight carriers and field personnel.
- Proficiency in standard computer software and application programs including Microsoft Office Suite Outlook 365 and logistics/asset management software (HCSS or equivalent).
- Ability to analyze plan and coordinate complex logistics operations anticipate potential delays and make decisions based on available information.
- Ability to use judgment and discretion.
- Ability to handle stressful situations in a fast-paced remote operations environment and prioritize tasks effectively.
- Ability to handle multiple tasks simultaneously.
- Ability to work with concentration accuracy and attention to detail.
- Ability to analyze and resolve complex issues both logical and interpersonal.
- Ability to participate in and facilitate group meetings.
- Ability to operate a motor vehicle in a safe and efficient manner.
- Ability to travel to remote field locations (including barge or air transport) to support logistics operations.
- Ability to maintain accurate documentation logs and records for compliance and operational reporting.
- Familiarity with logistics risk management safety protocols and emergency response procedures in remote or challenging environments.
MINIMUM QUALIFICATIONS:
- High School Diploma or GED required.
- Associates degree or certificate in logistics supply chain business administration or related field preferred.
- Two (2) years of experience in logistics materials coordination or supply chain operations preferably in construction oilfield or remote site operations.
- Valid state drivers license and qualified to operate a vehicle under the conditions of the Companys Driving Policy.
- Ability to pass drug driving and background screening.
WORKING ENVIRONMENT:
The work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Brice Incorporated has a fast-paced multi-tasking office environment requiring a high degree of efficient and effective performance. At times work is performed outside of the office at indoor and outdoor job sites. Field work will require travel to jobsites and client locations primarily by airplane and vehicle transportation. Adaptability regarding schedule and design changes. Work will require weekend and/or evening work depending on project needs.
