Job Title: Scheduler (Interview Coordinator)
Location: Bolingbrook IL (Hybrid 6 days/month onsite)
Duration: 6 Months (Potential for extension)
Shift: 8:00 AM 5:00 PM (Central Time)
Position Overview
We are seeking a highly organized and service-oriented Interview Coordinator to support a corporate recruiting team. This role is responsible for managing interview logistics ensuring a seamless and positive experience for candidates hiring managers and internal stakeholders in a fast-paced environment.
Key Responsibilities
- Coordinate and schedule interviews across multiple functions levels and time zones (primarily via Microsoft Teams)
- Partner with recruiters hiring managers and HR partners to align on interview plans and logistics
- Manage high-volume scheduling with accuracy efficiency and attention to detail
- Serve as the primary point of contact for candidates throughout the interview process
- Prepare and distribute interview confirmations agendas and related materials
- Maintain accurate candidate and interview data within the applicant tracking system (iCIMS)
- Troubleshoot scheduling conflicts and proactively resolve issues
- Coordinate panel interviews and support debrief sessions
- Ensure compliance with internal processes and data accuracy standards
- Identify opportunities to improve scheduling workflows and enhance candidate experience
Qualifications
- 13 years of experience in recruiting coordination scheduling HR support or administrative roles
- Experience working in a fast-paced high-volume environment
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and adapt to changing needs
- High level of professionalism and customer service orientation
Preferred Skills
- Experience with applicant tracking systems (e.g. iCIMS)
- Proficiency in Microsoft Outlook and Microsoft Teams
