Job Summary
Vertex is currently seeking a highly organized and driven Administrator to join our team in Sherwood Park. This role is ideal for someone who thrives in a fast-paced environment has a positive attitude enjoys supporting people and processes and takes pride in keeping things running smoothly behind the scenes.
This position plays an important role in supporting recruitment onboarding and day-to-day HR and administrative functions. You will help ensure employees are set up for success from the moment they are hired and throughout their employment.
RESPONSIBILITIES
Recruitment & Hiring Support
- Support recruitment activities including job postings resume screening and interview coordination
- Conduct pre-screens and reference checks
- Prepare employment contracts letters and other HR-related documentation
Onboarding & Employee Setup
- Coordinate the full onboarding process for new hires from offer through start date
- Collect verify and track all required onboarding documentation including employment forms certifications and compliance records
- Ensure all onboarding requirements are completed within established timelines
- Assist with coordinating safety tickets orientations and required documentation
- Conduct new hire orientations to ensure a strong and organized start
Employee Records & Administration
- Maintain accurate and up-to-date employee records and HR systems
- Ensure proper documentation and record management
- Assist with reporting and tracking HR metrics and data
- Grant administration and related documentation
Communication & Team Support
- Respond to internal and external inquiries in a professional and timely manner
- Liaise with internal teams to support employee needs
- Provide general administrative support to the team as needed
Compliance & Confidentiality
- Maintain confidentiality of sensitive employee and company information at all times
CANDIDATE QUALIFICATIONS
- 2 years of administrative experience (HR exposure is considered an asset)
- Administrative certificate or diploma is considered an asset
- Strong proficiency in Microsoft Office (Word Excel Outlook)
- Excellent organizational skills with a high level of attention to detail
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Comfortable communicating with others and spending time on the phone
- Strong communication and interpersonal skills
- A customer-service mindset with a proactive and positive approach
- Ability to handle sensitive and confidential information with professionalism
