As an Outreach Team Member we expect that all staff have the shared responsibility to tell our story and share our impact with key stakeholders (funders board members volunteers governing bodies community partners) always connecting the programs we deliver with the outcomes and impact we report.
Summary: Responsible for the day-to-day operations of the Dress for Success Greater Lackawanna program including client scheduling and suiting appointments inventory management donation processing and general administrative support. This position plays a central role in ensuring that clients receive a professional welcoming experience and that program operations run smoothly.
Duties:
Client Services and Scheduling
Schedules and coordinates client suiting appointments including initial contact following referral receipt
Greets all clients coming into the space and provides a positive professional experience throughout the suiting process
Completes required pre- and post-suiting paperwork with clients including referral forms demographic questionnaires and satisfaction surveys
Inputs client information into program tracking software
Conducts client follow-up and maintains communication logs as needed
This job requires attendance at the office as needed during scheduled hours
Other duties as assigned
Inventory and Donations
Sorts tags counts and logs incoming clothing donations per established inventory procedures
Maintains organized inventory by item type size and color
Tracks items released during suitings and records all inventory movement on monthly count logs
Manages inventory separately per program requirements for specialized programming as needed
Schedules and receives donation appointments in accordance with program guidelines
Processes and logs in-kind donations including issuing donation receipts and thank-you correspondence
Coordinates donation pickups and manages donation referrals for items outside program guidelines
Administrative Support
Performs clerical and administrative duties as assigned
Maintains Excel spreadsheets and database records for client tracking donor logs and reporting
Assists with the preparation of monthly and quarterly program data as required
Assists with program events fundraisers and community outreach activities as needed
Performs other duties as assigned
Qualifications:

Required Skills/Abilities:
Strong organizational skills and attention to detail
Comfortable working directly with clients from diverse and disadvantaged backgrounds
Reliable self-directed and able to manage time and tasks independently
Good written and verbal communication skills
Ability to use or learn Microsoft Outlook and Office
Commitment to Outreachs mission and the population served
Education/Experience:
High school diploma or equivalent required. 1-2 years of experience in retail customer service administrative support or human services preferred. Experience working with diverse and disadvantaged populations and commitment to Outreachs mission are required. Excellent written and oral communication skills required.
Computer Skills:
Proficient MS Office skills required particularly Outlook and Excel. Experience with online platforms database systems and social media preferred. Willingness to learn agency-specific software and outcomes tracking systems.
Certificates and Licenses:
Valid drivers license required. Ability to perform local travel for events. Commitment to ongoing professional development required.

Work Environment:
Work is performed in a boutique/office setting at The Steamtown Marketplace. The environment is client-facing and a professional demeanor is required at all times. Some local travel may be required for donation pickups or errands.
Physical Demands:
The employee must regularly lift and/or move up to 50 pounds with assistance when processing donations organizing inventory and transporting supplies/materials. Frequent standing walking reaching and bending are required.
