Mission

As the Operations Manager you will contribute to Extendicares purpose of Helping People Live Better by leading all business and administrative functions in a longterm care home. You will lead and mentor administrative staff while working closely with the Executive Director and leadership team to support daily operations.
This role is accountable for financial management payroll and benefits scheduling and workforce administration and other key administrative processes with a strong focus on compliance with company and regulatory requirements. Through effective leadership and problemsolving you will drive efficiencies and help create a welcoming environment for residents families and employees.

Key Outcomes

  • Ensure accurate and timely completion of key Human Resource (HR) processes including employee lifecycle updates biweekly payroll scheduling and benefits; serve as the inhome subject matter expert for these functions.
  • Oversee resident billing accounts and collection processes to ensure timely payments and accurate recordkeeping.
  • Support the homes financial health by proactively managing budgets monitoring spending and meeting financial targets.
  • Review financial reports regularly to identify variances investigate issues and take timely corrective action.
  • Maintain compliance with provincial legislation company policies regulatory standards and collective bargaining agreements in a unionized environment.
  • Lead and develop a highperforming administrative team that reflects Extendicares values and delivers excellent service to residents families and employees.

Key Responsibilities

  • Financial Acumen
    Lead and execute financial tasks including processing payments coding time and expenses managing resident accounts and collections and maintaining accurate records for banking petty cash and provincial funding.
  • Analytical Thinking
    Review and interpret payroll scheduling budget financial and HR data to ensure accuracy identify trends flag discrepancies and recommend corrective actions.
  • Customer Service
    Serve as the primary contact for residents families and employees on financial or HRrelated inquiries resolving issues with empathy and professionalism.
  • Leadership
    Supervise and coach the administrative team fostering a collaborative serviceoriented environment. Manage onboarding activities for new employees.
  • Collaboration
    Partner with the Executive Director home leadership union partners regional teams and head office resources to support daily operations.
  • Compliance & Records Management
    Maintain employee files HR documentation learning completion business processes and office workflows in compliance with legislation company policy collective agreements and regulatory standards.
  • Continuous Improvement
    Improve efficiency by streamlining backoffice processes using data insights and supporting home initiatives and corporate projects.
  • Values Alignment
    Promote Extendicares Mission Vision and Values demonstrating integrity respect and commitment to residents rights.
  • Flexibility
    Take on additional responsibilities unique to the home or temporary in nature as required.

Required Education Credentials and Experience

  • Postsecondary education in Business Administration Accounting or Human Resources.
  • Proficiency in Microsoft Office (Word Outlook Teams SharePoint) and advanced proficiency in Microsoft Excel.
  • Working knowledge of cloudbased systems such as Workday and PointClickCare (preferred).
  • 35 years of experience in business or office operations (healthcare or longterm care experience is an asset).
  • 23 years of supervisory or peopleleadership experience (preferred).
  • Demonstrated experience in HR payroll benefits administration scheduling accounts receivable/payable and working within a unionized environment.
  • Strong organizational analytical and customer service skills in a fastpaced multifunctional environment.
  • Ability to manage multiple priorities under tight deadlines.
  • Must provide a current (within six months) Vulnerable Sector Check or be willing to obtain one.
