Who We Are:
Heritage Park is Canadas largest living history museum and offers visitors a chance to experience life in Western Canada from the 1860s to the early 1950s. The park features historical buildings costumed interpreters working antiques and various exhibits that provide insight into the regions past.
Job Overview:
The Project Coordinator supports the planning coordination and delivery of capital projects across Heritage Park. Reporting to the Director Capital Planning & Special Projects this role is responsible for coordinating project schedules supporting procurement activities maintaining project documentation and tracking project progress to support timely and effective project delivery.
The position serves as a key liaison between operational teams and the Capital Projects team facilitating communication and supporting the coordination of capital improvements and facility upgrades across the Park. The role also provides project coordination analysis and operational support to advance smaller capital projects and contribute to the development and scoping of new initiatives from concept through to completion.
This role supports and delivers a diverse range of capital projects across the Park including small building renovations and interior improvements; infrastructure upgrades such as mechanical electrical and accessibility enhancements; exhibit and interpretive space improvements; site upgrades including pathways fencing landscaping and lighting; equipment replacements and operational upgrades; and projects that enhance the overall guest experience.
Responsibilities:
Project Coordination
- Coordinates and supports the delivery of capital projects from planning through to completion
- Maintains project schedules timelines and milestone tracking to support effective execution
- Coordinates project meetings including preparation of agendas and meeting documentation
- Tracks action items and follows up with internal teams contractors and consultants
- Maintains accurate and organized project documentation and records
Project Intake and Scoping Support
- Supports the review and coordination of project requests submitted by internal departments
- Works with stakeholders to clarify project requirements and operational needs
- Conducts site reviews and gathers information to inform project planning
- Assists in developing project scopes including objectives deliverables and constraints
- Supports the development of preliminary cost estimates and project schedules
- Prepares project briefs and supporting documentation for approvals
- Coordinates with Facilities & Maintenance to ensure alignment with operational priorities
Small Project Management
- Manages smaller capital improvement projects from initiation through to completion
- Coordinates contractors consultants and internal stakeholders
- Monitors project schedules budgets and deliverables to support successful outcomes
- Ensures projects are delivered safely and in alignment with organizational standards
- Provides regular project updates and status reporting
Administrative and Procurement Support
- Prepares and tracks purchase orders (POs) for project-related materials and services
- Supports invoice tracking and coordination with the Finance team
- Maintains project cost tracking and supporting documentation
- Assists in the preparation of project reports presentations and leadership updates
Procurement and Contract Support
- Supports the preparation of tender documents and requests for proposals (RFPs)
- Maintains records of contractor submissions contracts and approvals
- Coordinates documentation required for procurement approvals and compliance
Organizational Excellence and Wellbeing
- Contribute to inspiring and immersive experiences at the Park by engaging in Heritage Park initiatives that align with our mission and vision ensuring authenticity in our historical setting and stories.

Required Qualifications:
- Diploma or degree in Project Management Construction Management Engineering Architecture Business Administration or a related field
- 25 years of experience supporting construction facilities or capital projects
- Strong organizational and time management skills with the ability to manage multiple priorities
- Minimum medium level-proficiency in Microsoft Office (Excel Word Outlook Office 365 is required. Experience with project management programs will be an asset.
- Strong communication and coordination skills
- Considered an Asset:
- Project management training or certification (e.g. CAPM PMP coursework or equivalent experience)
- Experience supporting procurement processes purchase orders or contract coordination
- Experience working within heritage museum or cultural environments
- Familiarity with building codes accessibility standards and construction best practices
- All successful candidates (over the age of 18) will be required to complete a Police Information Check as a condition of employment. A criminal record will not automatically disqualify an applicant; any information disclosed will be assessed confidentially on a case-by-case basis in accordance with Alberta human rights legislation considering relevance to the role and our commitment to equitable and inclusive hiring practices.
Special Clothing and Equipment:
- Personal protective equipment (PPE - hard hats and safety glasses) are required when visiting construction areas and will be provided by Heritage Park
- Occasional visits to construction and renovation sites within The Park
Special Working Conditions: - The position will be exposed to outdoor weather conditions and construction environments
Hours of Work:
- The standard hours for this position are 35 hours per week;
- The schedule will generally be five consecutive days per week (Monday to Friday); and
- Occasional holiday evening and weekend work may be required
